Job Overview

We are seeking an energetic and highly organized Business Office Manager to lead our administrative and operational functions within our office environment. This pivotal role combines office management, financial oversight, team supervision, and subcontractor coordination to ensure smooth daily operations. Responsibilities

  • Oversee daily office operations, including office systems and staff
  • Manage scheduling and calendar coordination for staff meetings, appointments, and organizational events to optimize time management
  • Supervise administrative staff and support team members through training, development initiatives, and performance feedback to promote a motivated and skilled workforce
  • Assist bookkeeping duties using QuickBooks or similar accounting software, including invoicing, expense tracking, and financial record maintenance
  • Manage payroll processing in collaboration with human resources or payroll providers to ensure timely and accurate employee compensation
  • Develop and monitor TXDOT project budgets, track expenditures, and implement cost-saving measures to support financial health
  • Maintain meticulous records through filing systems—both digital and physical—covering medical office documentation, clerical files, and administrative reports
  • Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting compliance with employment laws
  • Support office management initiatives that improve workflow efficiency and enhance overall organizational productivity

Requirements

  • Proven experience in office management or administrative roles within a professional setting; prior office management experience is required
  • Demonstrated supervising experience with the ability to lead teams effectively
  • Proficiency in QuickBooks accounting software for bookkeeping and financial tasks
  • Strong schedule management skills with the ability to prioritize multiple responsibilities efficiently
  • Experience managing vendor/subcon relationships and negotiating contracts for services or supplies
  • Knowledge of human resources processes including payroll administration, onboarding procedures, and employee recordkeeping
  • Excellent communication skills—both verbal and written—with an emphasis on professional phone etiquette and client interaction
  • Exceptional organizational skills with meticulous attention to detail in filing systems and record maintenance
  • Ability to handle clerical tasks such as data entry, filing, calendar management, and document preparation accurately under deadlines
  • Capacity for training staff in office procedures or new software tools to foster continuous improvement

Pay: From $29.00 per hour

Expected hours: 40 per week
