JOB SUMMARY: Supports the Wealth Management Advisor in the areas of client service, information management and compliance with focus on insurance and investment related products and services. Specific responsibilities may include but are not limited to:
ESSENTIAL FUNCTIONS:
•Supporting the Wealth Management Advisor in organizing and preparing materials for client meetings, recording thorough case notes, assigning follow-up tasks/opportunities, and quarterbacking all tasks to improve the client experience.
•Executing a variety of administrative tasks such as scheduling client reviews, confirming appointments, maintaining the Wealth Management Advisor’s calendar and email, digital filing, keeping technology up-to-date, and pulling activity reports for the advisor's continued practice management.
•Communicating directly with new and existing clients to build, update and deliver financial plans.
•Establishing investment proposals and account(s), initiating 401(k)/IRA rollovers, processing service requests on established accounts, and distributing funds when required.
•Running insurance illustrations, preparing cases for appointments, and communicating with insurance specialist on follow up requirements.
•Maintaining client CRM records and other proprietary applications.
•Developing rapport with the client in order to serve as the primary point of contact for service/administrative tasks.
•Coordinating internal meetings with staff and advisors to ensure a smooth client experience.
•Anticipating advisor needs for upcoming client meetings and internal meetings to streamline calendar organization and time on the business.
QUALIFICATIONS:
•Health and Life licensed or gain licensing within 2 months of employment
•Familiarity with Microsoft applications and data entry and information retrieval software
•Strong technology skill set
•Demonstrated organizational and time management skills and ability to multitask, set priorities and meetdeadlines
•Associate Financial Representative contract required within 3 months
•Demonstrated ability to maintain effective working relationships with clients
•Excellent oral and written communication skills
•Strong attention to detail with the ability to work with a high degree of accuracy
•Ability to manage multiple diverse projects and assignments in a timely and quality manner
•Willingness to learn and think outside the box
•Ability to embrace change and work in a fast-paced environment
•Able to work both independently and on a team
•Ability to maintain confidentiality
