What You'll Do:
As our Service Coordinator, you'll play a crucial role in our service team, ensuring seamless operations and exceptional customer service. Your key responsibilities will include:
Service Scheduling & Coordination
- Manage schedules for field service technicians
- Prioritize and balance urgent calls, routine maintenance, and service requests
- Coordinate with customers to confirm service details and schedule appointments
Parts & Materials Management
- Order and track parts from approved vendors
- Prepare parts for technicians based on service orders
- Maintain an organized parts room and manage inventory
Customer Communication & Support
- Act as the primary point of contact for incoming service calls and requests
- Provide timely updates on service timelines and job progress
- Follow up with customers after service to ensure satisfaction
Job Tracking & Documentation
- Open, update, and close service tickets
- Ensure accurate documentation of work performed, parts used, and technician hours
- Assist with service estimates and warranty claims
Rental Fleet Oversight
- Manage rental equipment availability and usage
- Coordinate equipment pickups, returns, and deliveries
- Track rental usage and assist with billing
Team Support & Collaboration
- Provide logistical support to field technicians
- Work closely with the Service Manager on job prioritization and resource allocation
- Contribute ideas for improving team efficiency and service quality
What We're Looking For
We're seeking an organized, detail-oriented individual who's ready to take initiative. The ideal candidate will possess:
- Required: High School Diploma or GED
- 3 years of experience in coordination, administration, or a service-related role
- Excellent communication and organizational skills
- Proficiency with Microsoft Office (Excel, Word, Outlook)
- Mechanical aptitude or experience in an industrial setting is a plus
- Ability to multitask, prioritize, and meet deadlines in a dynamic environment
Physical Requirements
- Primarily sitting at a desk
- Occasional reaching, bending, crouching, and lifting up to 50 lbs.

What You’ll Be Doing
As our Service Coordinator, you’ll be an integral part of our service team, making sure everything runs smoothly, and our customers receive top-notch service. Your role will involve:
Service Scheduling & Coordination
Manage schedules for field service technicians
- Balance urgent calls, routine maintenance, and service priorities
- Coordinate with customers to confirm service details and appointment windows
Parts & Materials Management
Order parts and track shipments from approved vendors
- Stage parts for technicians based on service orders
- Maintain an organized parts room and update inventory regularly
Customer Communication & Support
Serve as the main point of contact for incoming service calls and requests
- Provide clear updates on service timelines and job progress
- Follow up with customers post-service to ensure satisfaction
Job Tracking & Documentation
Open, update, and close service tickets in our software
- Ensure accurate documentation of work performed, parts used, and technician hours
- Assist with service estimates and warranty claims
Rental Fleet Oversight
Monitor rental equipment availability and usage
- Coordinate timely equipment pickups, returns, and deliveries
- Log rental usage and assist with billing
Team Support & Collaboration

- Work closely with the Service Manager to prioritize jobs and resources
- Contribute ideas to improve team efficiency and service quality
What We’re Looking For
We’re looking for someone who’s organized, detail-oriented, and ready to make things happen. The ideal candidate will have:
- Required: High School Diploma or GED
- Experience in CRM platforms is a plus (HubSpot, QuickBooks a plus)
- 3 years of experience in coordination, administration, or a service role-Required
Excellent communication and organizational skills - Proficiency with Microsoft Office (Excel, Word, Outlook)-Required
Mechanical aptitude or experience in an industrial setting is a plus - Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
