Position overview360 Supports is hiring a highly organized administrative and compliance assistant to support its Virginia residential and in-home programs. This position is a strong fit for someone who enjoys organizing records, tracking deadlines, supporting employee onboarding, identifying missing information, and making sure important details do not fall through the cracks. The program currently supports approximately 12 individuals through in-home services and a small two-person group home. The Assistant will work closely with the Director of Residential and In-Home Services as 360 Supports strengthens its systems and prepares for responsible growth.
What you will do
- Prepare onboarding packets and coordinate paperwork, signatures, orientation, training enrollment, and system-access requests for DSPs and other employees.
- Maintain confidential personnel files and track background checks, registry and exclusion results, health screenings, driving records, credentials, certifications, and training.
- Create and maintain organized paper and electronic client files using approved checklists and naming standards.
- Track service authorizations, plans, Part V documents, consents, rights information, health and safety records, quarterly reports, annual reviews, and other recurring requirements.
- Identify missing, expired, unsigned, incomplete, or misfiled documents and follow up with the responsible person.
- Maintain accurate compliance calendars and provide the director with clear lists of approaching, open, overdue, and completed items.
- Verify that acceptable supporting documentation has been received before marking requirements complete.
- Assemble records for director review, licensing visits, audits, admissions, discharges, meetings, and authorized record requests.
- Support referral, intake, admission, transfer, and discharge logistics by preparing packets and coordinating appointments and document collection.
- Prepare approved letters, spreadsheets, trackers, agendas, meeting notes, and routine status reports.
- Communicate professionally with applicants, employees, individuals, families, support coordinators, and other authorized contacts.
- Immediately escalate safety concerns, suspected abuse or neglect, privacy issues, regulatory contact, falsified records, and other potentially serious concerns.
Minimum qualifications
- High school diploma or GED.
- At least two years of relevant administrative, medical-office, human-services, HR-support, compliance-support, onboarding, or records-management experience preferred.
- Strong attention to detail, organization, proofreading, written communication, and follow-through.
- Working proficiency with Microsoft Office or Google Workspace and ability to learn electronic systems.
- Ability to protect confidential employee and client information.
- Reliable transportation and a valid driver's license if local travel is assigned.
- Ability to complete required background checks and screenings.
Preferred experience
- Administrative support for a DBHDS-licensed, Medicaid Waiver, developmental-disability, behavioral-health, residential, or home-care provider.
- DSP onboarding and personnel-file maintenance.
- Client-record organization and compliance checklists.
- Training and credential tracking.
- Electronic document control, shared drives, spreadsheets, scanning, and file-naming systems.
Compensation schedule and growth The pay range is $20.00-$24.00 per hour, based on directly related experience and qualifications. Full-time employment is preferred, although a part-time schedule may be considered for a highly qualified candidate.
