Job Summary
The Parts & Warranty Claims Coordinator supports mobile surveillance manufacturing and field service operations by managing parts order processing, warranty claim intake, vendor/manufacturer warranty submissions, and replacement part fulfillment. This role ensures timely shipment of parts, accurate documentation, and consistent communication with customers, technicians, and vendors to minimize downtime and improve customer satisfaction.
Key Responsibilities
Parts Order Processing & Fulfillment (Primary)
- Process incoming parts orders from customers, internal teams, and field technicians.
- Verify parts requests for accuracy (part number, description, quantity, compatibility with system build/model).
- Enter orders into ERP/order system, create pick tickets, and coordinate fulfillment/shipping.
- Coordinate shipping methods based on urgency (standard, expedited, overnight) and customer requirements.
- Maintain accurate records for:
- order confirmations
- shipment tracking numbers
- delivery confirmations
- backorders and substitutions
- Support quoting and invoicing workflow for parts orders as required.
- Coordinate with purchasing to replenish stock and prevent shortages of critical parts.
Warranty Claims Processing (Primary)
- Process incoming warranty claims for mobile surveillance systems and components, including:
- cameras, NVRs, routers/modems, switches/PoE
- batteries/chargers/solar components
- generators and control modules
- trailer/tower mechanical components (where applicable)
- Review warranty submissions for completeness:
- system serial number / VIN (if applicable)
- component serial numbers
- failure description and photos
- troubleshooting steps performed
- installation date / in-service date
- Coordinate warranty reimbursement with Controller for timely repayment of work performed
- Determine warranty eligibility based on warranty policy, coverage period, and failure type.
- Create warranty claim tickets and maintain status through resolution.
- Coordinate RMA (Return Merchandise Authorization) process with manufacturers/vendors.
- Submit warranty claims to vendors/manufacturers and follow up to ensure timely approval/credit/replacement.
Pay: $55,000.00 - $70,000.00 per year
