About the Firm
We are a boutique personal injury firm experiencing rapid growth and looking for a highly organized, proactive Operations Manager to oversee our day-to-day operations, support our attorneys, and build strong internal systems.
Responsibilities
Firm Operations & Systems
Build and maintain systems, SOPs, and workflows across all departments.
Manage FileVine and ensure cases move efficiently from intake through completion.
Manage firm master trackers, lead lists, and KPI dashboards.
Formalize and run meetings, agendas, and follow-up systems.
Coordinate and manage all third-party vendors.
HR & Personnel Management
Manage and support firm staff; assist with hiring, onboarding, and training.
Maintain org chart, compensation structures, and job descriptions.
Conduct or coordinate employee reviews.
Update and enforce the employee handbook.
Handle routine HR matters and assist with payroll/vendor coordination.
Finance & Administration
Handle incoming/outgoing checks and basic financial tracking.
Assist with firm financials and budgeting, including CLE/CE budgets.
Track attorney CLE requirements and registrations.
Book travel, manage calendars, and support attorney needs.
Client Experience & Culture
Assist with client issues and escalate when needed.
Manage Google review processes and client satisfaction efforts.
Support funeral home coordination when required for catastrophic cases.
Plan office events, parties, and team-building activities.
Qualifications
3–5 years in operations, office management, or legal admin (law firm experience preferred).
Strong leadership and communication skills.
Highly organized with excellent follow-through.
Strong tech skills; FileVine experience is a plus.
Professional, positive, solutions-oriented.
