As we continue to scale, we are seeking a proactive and highly organized Executive Operations Coordinator to support executive level needs, streamline operational workflows, improve internal processes, and help keep the company running smoothly day-to-day.
Position Overview:
We are looking for a positive, upbeat, energetic candidate with a can-do attitude. The right person is a proactive self-starter who takes initiative, anticipates needs, and thrives in a fast-moving operational environment. The ideal candidate independently identifies opportunities for improvement, takes ownership of solutions, and consistently drives outcomes with minimal oversight. This role combines executive support, operational coordination, project tracking, inventory management, facility administration, and light daily account operations work.
Key Responsibilities Include:
Executive Support (Primary)
- Lead key internal meetings, document action items, and ensure clear ownership and next steps.
- Track action items through to closure and follow up with team members to drive timely completion.
- Support the CEO’s priorities and schedule organization.
- Draft internal communications, announcements, and summaries as needed.
- Prepare reports, briefs, or status updates to support decision-making.
- Act as a proactive initiator who independently identifies opportunities for improvement, takes ownership of solutions, and drives outcomes with minimal oversight.
Operational Coordination (Primary)
- Manage project boards (e.g., ClickUp, Trello) and ensure tasks have clarity, ownership, and deadlines.
- Coordinate and follow up on technician assignments and internal workflows.
- Track operational tickets, escalate delays, and ensure updates are logged.
- Prepare weekly operations meeting agendas, lead meeting flow, document action items, and drive those items to completion.
- Maintain and update Standard Operating Procedures (SOPs), checklists, and internal documentation with an eye toward clarity and continuous improvement.
- Strengthen communication flow between the office and the technical team.
Inventory, Procurement & Asset Coordination (Primary)
- Monitor inventory levels of recurring supplies & IT equipment (servers, drives, memory, cables, packing materials, etc.).
- Order routine items when stock is low and maintain procurement logs.
- Track inbound shipments, verify accuracy, and handle discrepancies or returns.
- Organize asset intake and maintain clean, accurate documentation.
- Suggest improvements to inventory systems, stocking methods, or vendor processes.
Facility & Office Operations (Secondary)
- Serve as the front-desk presence during business hours, greeting visitors and vendors.
- Coordinate deliveries, vendor appointments, and access to the facility as needed.
- Maintain a clean, organized, professional office environment.
- Oversee office supplies, conference room readiness, and general workspace organization.
- Support preparations for audits, inspections, or customer tours.
Account Operations Support (Secondary, ~1–2 Hours Daily)
- Send past-due notices and monitor aging invoices to ensure customers remain informed about their account status.
- Manage account-related helpdesk tickets and assist customers with questions about their services.
- Process service cancellations in accordance with internal procedures and required documentation.
- Maintain accurate records of all account communications and escalations.
- Identify recurring customer-account issues and suggest improvements to reduce confusion or support load.

Preferred Experience

- Previous experience in operations, executive assistance, office management, account management support, or project coordination.
- Familiarity with inventory tracking systems, task/project management tools, or basic account management workflows.
- Experience in a technical, IT, SaaS, hosting, or data center environment is a plus (but not required).
