We are seeking an organized, proactive Office Manager to support daily operations and help lead administrative growth.Position SummaryAs the Office Manager, you will play a central role in ensuring the smooth functioning of our office operations across one (soon to be two) locations. This position is ideal for an individual with strong administrative experience, excellent interpersonal skills, and the ability to balance multiple priorities. The role is part-time now, with meaningful opportunity to grow into full-time as we expand.Key ResponsibilitiesAdministrative OperationsOversee day-to-day office activities, including front desk support, phone coverage, and general administrative tasks.Manage office systems, supplies, mail, and equipment inventory.Maintain organized and efficient filing systems (electronic and paper).Ensure smooth communication between clinical, administrative, and support staff.Enforce attendance policies.Keep track of supplies and reorder as needed.Patient & Staff SupportWelcome and assist patients in a friendly, professional manner.Respond to phone, email, and in-person inquiries.Assist with scheduling, patient check-in/out processes, and patient reminders.Support onboarding and training of new staff as the practice grows.Financial & Billing SupportSupport basic billing processes and assist with accounts receivable and payable tasks as needed.Work with third-party vendors, payors, and billing partners to resolve basic issues.Manage Balances in ECW.Contact patient for outstanding balances.Office Leadership & Growth SupportHelp refine and implement office policies, procedures, and systems.Collaborate with providers and leadership to support expansion to a second location.Prepare reports and dashboards for productivity, scheduling, and operational insights.QualificationsRequired:1 years of office administration or related experience.Strong organizational and time-management skills.Excellent communication and customer service skills.Proficiency with standard office software (email, scheduling, spreadsheets).Ability to work independently and prioritize tasks.Preferred:Experience in a medical or healthcare office environment.Familiarity with electronic health record (EHR) systems, specifically ECW.Experience supervising or coordinating staff.Professional SkillsStrong problem-solving and multitasking abilitiesHigh attention to detail and follow-throughPositive attitude with a team-oriented mindsetAbility to maintain confidentiality and handle sensitive informationWhy Join UsBe part of a collaborative, caring primary care practice with room to grow.Direct impact on front-line operations and patient experience.Supportive work environment with plans to expand responsibility and compensation.
