Position Highlights: Position: Education Coordinator Location: Evanston, IL Full Time/Part Time: Full Time Hours: Monday-Friday, 8am – 4:30pm Required Travel: Limited travel required A Brief Overview: The Education Coordinator supports the AVP for Academic Affairs, the Chief Academic Officer and Associate Dean, and the Assistant Dean for Medical Education, and Education Programs Specialist, and is responsible for day-to-day operational activity of the Office of Academic Affairs (OAA). The coordinator will manage logistics and payment of student housing and transportation programs. The coordinator will manage the clinical observer program and manage academic affiliation agreements. The coordinator will maintain primary responsibility as administrative coordinator of the Cardiology fellowship. This position reports to the AVP for Academic Affairs and will act as a resource for and backup to the administrative education staff (Education Coordinators) from each of the departments. What you will do: Works with the UC GME office and the MedHub vendor to ensure that NorthShore historical and ongoing data is available and accessible to faculty, programs directors, and residents. The specialist will orient new education coordinators on use of MedHub and e*Value. Orders supplies as needed. Provides support for meetings including room booking, catering orders, and meeting minutes as necessary. Maintain resident provider ID database using MSOW. Assist in the logistics day of resident orientation (I-9 completion, ordering of lab coats, etc.). Acts as a subject matter expert and provides direction for departmental education coordinators for resident and student onboarding (obtaining EPIC access, ID badges, and other orientation processes), academic appointment processing, and other relevant OAA policies and processes. Serves as a back-up for other departmental education coordinators as needed. Manages the visiting student, clinical observer, and school affiliation agreement processes. Maintains the elective catalog and electronic application on the web. Works with the U of C registrar and NorthShore departments to assure U of C student prioritization as well identify new electives and teaching opportunities. Train new coordinators on the VSAS program and visiting student process. Communicates policies to faculty and students as appropriate. Manages the process for U of C student and resident temporary housing and transportation programs. Reconciles housing invoices with rotation schedules. Prompts students to make reservations for upcoming rotations. Makes reservations with the hotel and tracks days in a spreadsheet. Makes changes to reservations as necessary. Manages overflow situations by reserving in the secondary hotel when necessary. Reconciles invoices and completes check requests. Works with the hotel to resolve issues presented by the students. Reconciles taxi voucher invoices and completes check requests. With Program Director, manages ACGME/RRC requirements including updating the WebADS program and coordinating RRC site visits. Manage MedHub functions including evaluations, duty hours, curriculum, conferences, etc. Onboards new fellows including ID badges, contracts, parking, pagers, computer access, etc. With Program Director, develop rotation schedules for fellows. With assistance from Cardiology administrative assistant, manage the fellow interview process. Assist Program Director in the development of the fellowship manual, policies, and procedures. Schedules conferences and lectures as needed. Manage the NRMP match and related functions through the ERAS software. Schedules semi-annual fellow performance reviews Keeps resident files updates. Manages orientation and graduation related tasks. What you will need: Bachelors Degree Health Administration Preferred Or Bachelors Degree Business Administration/Management Preferred Or Bachelors Degree Education Preferred 5 Years of relevant work experience with a significant portion in an academic medical center, healthcare, graduate medical education, and/or another academic environment. Must have collaborative management style and team-approach work style. Must be an effective communicator, with the ability to influence, direct, and collaborate with people across all levels and diverse backgrounds. Must have a deep understanding of medical education best practices and standards, and process improvement. Experience with and/or expertise in E*value and MedHub preferred. Good working knowledge of presentation-related software and Microsoft Office programs required. Ability to interact with a variety of individuals and levels of management demonstrating sensitivity and tact as well as understanding the boundaries of the role's decision-making authority.
