Job Summary
1 Stop is seeking someone with phone skills, invoicing, and billing experience. Having experience in a service shop. We are seeking a highly organized and personable Customer Service Associate / Office Manager to oversee daily office operations and provide exceptional customer service. This role combines administrative responsibilities with team supervision, requiring a professional who can manage multiple tasks efficiently. The ideal candidate will possess strong communication and organizational skills, with experience in office management, bookkeeping, and vendor relations. This position offers an opportunity to contribute to a dynamic team environment while ensuring smooth office functioning and superior client interactions.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Oversee calendar management, scheduling appointments, meetings, and events efficiently.
- Handle bookkeeping tasks using Tekmetric, including invoicing, billing, and expense tracking.
- Oversee human resources functions such as payroll processing, employee records management, and onboarding new staff.
- Maintain filing systems, records management, and ensure compliance with office policies.
- Ensure effective communication across departments through clear phone etiquette and organizational skills.
Requirements
- Proven experience in office management or administrative roles within a professional environment.
- Strong communication skills with the ability to interact effectively with clients, vendors, and team members.
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems.
- Experience in event planning, supervising teams, human resources functions, payroll processing, budgeting, bookkeeping, and vendor management is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Demonstrated ability to handle clerical duties such as filing, data entry, and front desk operations with professionalism.
- Prior experience in medical office management or related fields is a plus.
- Ability to train staff effectively and foster a collaborative team environment. This role is integral to maintaining an efficient office environment while delivering outstanding customer service that supports our organization’s goals of professionalism and excellence.
Pay: $40,000.00 - $60,000.00 per year
