Job Description


Duties

This is a developmental opportunity, no experience necessary. Accredited training will be provided to support your career.

Purpose Of The Position:

To provide administrative assistance to all departments in Acquired Brain Injury Ireland, (ABII), National Office in Dun Laoghaire and assist with the provision of reception duties.

Hours: 

19.5 hours per week.

Responsible To:
	
ABII Designated Supervisor on a day to day basis and the PICES Supervisor.

Administration Duties: 

•	Provide administrative support to all departments within ABII National Office Dun Laoghaire.
•	Assist the Finance Department with invoice preparation, statements and distribution.
•	Assist the HR department with the preparation and printing of staff ID cards
•	Assist with the preparation of printed documentation / flyers for ABII promotional material.
•	Administrative tasks supporting the effective gathering of data and information in preparation for any upcoming reports.
•	Ordering of relevant stationary as needed.
•	File maintenance and storage of all hard / soft copy files in line with GDPR requirements. 
•	Input administrative data from the various departments into relevant databases as required. 
•	Attend training and team meetings as required. 
•	Other relevant duties as assigned from time to time. 

Reception Duties:  

•	Provide Reception cover as required.
•	Meet and greet clients and visitors in the appropriate manner. 
•	Distribute incoming post to individual departments. 
•	Bring outgoing post to Post Office.
•	Prepare meeting rooms as required. 
•	Typing and photocopying as directed.  

Candidate Requirements: 

•	Candidates should have an excellent telephone manner.
•	Pleasant, friendly, have a welcoming manner, good communication and interpersonal skills. 
•	Commitment to confidentiality, respect for clients and adhere to current GDPR regulations. 
•	Full training will be provided to assist the successful candidate.
