JOB DESCRIPTION
We are seeking a highly motivated and detail-oriented Data Management Specialist to join our Zollege team as a Sales & Marketing Operations Analyst. The successful candidate will have the ability to learn and utilize data management platforms (CRMs), as well as experience in manipulating data using Excel and Google Sheets.
The role’s responsibilities primarily include analyzing sales trends, producing and maintaining sales reports, presenting and distributing data interpretations, making recommendations to the marketing and sales departments, work flow optimizations and harnessing technology to remove bottlenecks to boost efficiency.

KEY RESPONSIBILITIES
- Track the performance of critical initiatives, providing insights that improve performance.
- Provide project management and leadership as needed.
- Maintain and enhance sales dashboards to provide reps and managers with actionable insights to grow volume.
- Support ad hoc analysis requests from admissions and marketing teams.
- Collaborate with Admissions and Marketing teams to define key performance indicators and identify trends and opportunities.
- Respond to incoming communications, queries, and requests for sales operations and commissions-related information and updates. Escalate more complex issues to the appropriate contact.
- Workflow optimization to improve productivity and sales revenue
- Suggest constructive ideas to improve business processes
- Create predictive models to test and make decisions for future initiatives.
- Organizing data and generating deep customer insights to enhance sales force productivity and effectiveness.
- Supporting the sales team with key planning and operations tasks to support the overall objective of the business
- Monitoring and analyzing key sales and business performance indicators and trends to drive strategic and tactical business decisions and also coordinating and ensuring accuracy of sales forecasts
- Ensuring sales process adoption and compliance and also identifying opportunities for improvement in the sales process and systems to ensure greater sales effectiveness and efficiency
- Build and update Hubspot reports for marketing and sales data as needed
- Monitor Hubspot data daily, analyze, and provide weekly reports
- Work as a thought partner with marketing to identify issues and collaborate in brainstorming solutions
- Manage Meera (AI text platform) including but not limited to maintaining communication between Zollege and Meera teams, supporting internal stakeholders (admissions, marketing, and tech), monitoring meera data, and providing weekly reports with analysis
- Manage Olark (chatbot) including but not limited to monitoring admissions and marketing data in platform and internally, troubleshooting errors, and maintaining communication between internal stakeholder and Olark
- Leverage data to make recommendations for improvement of marketing and admissions performance in addition to Zollege growth overall
REQUIRED SKILLS AND EXPERIENCE
- Proficient with Hubspot or comparable CRM
- 2-4 years proven administrative manager experience and/or sales operation experience overseeing sales compensation
- Advanced proficiency in Excel and Google Sheets.
- Strong analytical and problem-solving skills, with the ability to manipulate and interpret large data sets.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Proven ability to learn new technologies quickly and independently.
- Strong communication and interpersonal skills.
- Hunger to learn and grow professionally.
- Proven self-starter, willing to put in the work to help build our policies and procedures across the admissions and marketing departments
- Must be able to thrive in a fast-paced, startup environment. Flexibility is a must.
- Willing to work some nights and weekends.

This role requires an understanding of working in and with a virtual workforce. All applicants are expected to be successful working independently in a virtual setting.
