Zillow Group is Hiring an Executive Assistant Near Seattle, WA

About the team

We are seeking an extraordinarily forward-thinking, motivated, resourceful, and proactive individual with an established and proven history of high performance to support the Chief Executive Officer.

About the role

This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with senior executives inside and outside of the company. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, own and complete sophisticated tasks and projects quickly, react with appropriate vitality to situations that require a quick turnaround, and proactively solve difficult or complex problems. Exceptional organizational and communication skills are a must

Responsibilities include:

  • Provide top-level senior executive support while maintaining high levels of discretion, professionalism and judgment

  • Represent company and supported executives both internally and externally

  • Act as liaison with direct reports, other internal teams/organizations, and external partners

  • Own and handle complex executive calendars and scheduling requirements

  • Secure and manage travel arrangements, often including complex logistics

  • Plan, own and run both internal and external executive events and meetings (e.g., staff meeting agendas, all-hands meetings, off-sites, etc. including detailed logistics and meeting material preparation)

  • Design and implement processes across functions and offices to ensure clear communication, efficiency, and operational excellence

  • Manage/track administrative activities and help drive completion of key deliverables, including analyses, reports, write-ups, etc.

  • Own and manage expense reporting and reconciliation, records management, materials preparation, and other duties as required

  • Anticipate follow-ups and proactively manage upcoming needs

  • Provide support on special projects as needed; may be responsible for some programs

  • Build internal and external partnerships and coordinate work efforts across functions

  • Vette and prioritize a multitude of requests on behalf of the Chief Executive Officer

  • May require 25% travel annually 

This role has been categorized as a Hybrid position. “Hybrid” employees regularly work at an existing ZG corporate office for approximately 10 to 80 percent of their time each month, and the rest of the time they may work from a remote physical location of their choice within a reasonable commuting distance from the corporate office which must be identified to the Company in advance. The Recruiter and Hiring Manager will set expectations on the employee’s preferred time in office. ZG has not defined a reasonable distance, and expects employees will use judgment in determining this for themselves and understand the implications re: time commitment and cost of daily commute.In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.

Who you are

An established Executive Assistant with a minimum of 7 years of experience, with at least 3-5 years providing direct support to senior-level executives and experience providing support remotely. Experience in technology sector is a plus, though not required. A highly motivated self-starter with high levels of discretion and good judgment, high performance standards, strong attention to detail, and initiative to take action.

Qualifications and Skills:

  • Established Executive Assistant with 7 years of experience including a minimum of 3-5 years of experience providing direct support to multiple senior-level executives simultaneously

  • Experienced at leveraging various programs and applications to effectively provide support remotely

  • Demonstrate and display professionalism with a high degree of subtlety, tact, and judgment

  • Use sound judgment and discretion when handling highly confidential and proprietary materials

  •  Excellent influencing, negotiating, communication, and organization skills

  • Ability to think and plan proactively, delegate responsibilities appropriately, and manage time effectively

  • Ability to multitask, anticipate needs, continually shift priorities on a moment’s notice, and balance competing priorities

  • Ability to work independently and comfortably within a team environment

  • Strive to exceed expectations with a customer-focus attitude

  • Enjoy problem-solving, working collaboratively with others and building effective working relationships

  • Seek to creatively design, implement, or improve work processes and proactively resolve issues and conflicts

  • Ability to accept accountability for outcome and results, and to seek/act upon constructive feedback

  • Proficient with technology including Microsoft Office suite applications (Outlook, Word, Excel, PowerPoint, etc); Google Suite applications (Sheets, Docs, Slides, etc.); Zoom, iPhone, Slack, etc.

  • Experience working in the technology sector preferred, though not required

  • Bachelor’s degree preferred
