Program Assistant

Location: East Baton Rouge Parish
Reports to: Director of Youth Services
Hours: Full-Time, exempt position
Wage: $34,200 - $37,000 annually depending on relevant qualifications and education.

Job Mission
The Program Assistant is responsible for supporting the Youth Services department at Youth Oasis. Youth Oasis is a nonprofit organization supporting youth and young adults at risk of or experiencing homelessness or out of home placement. e Youth Services department provides residential and community based services to youth ages 11-24.
The Program Assistant will report directly to the Program Director. The Program Assistant will assist with managing the day - to - day operations of the Youth Services department. The person filling this role will provide administrative and logistical assistance. The Program Assistant creates infrastructure that facilitates healthy linkages between programmatic and administrative teams to enhance the effectiveness of Youth Oasis’ mission. The Program Assistant is responsible for establishing and maintaining strong relationships with team members, clients, donors, and community members.

Key Responsibilities
Leadership:
o Offer vision, creativity, and enthusiasm to employees and community members to generate positive thinking and best practices for young people;
o Maintain meaningful involvement with consumers, advocates, and community partners;
o Collaborate with the Program Director and Leadership team to develop a sustainable leadership model;
o Create various monthly reports
Program Support:
o Attend team meetings and take notes for accountability purposes
o Actively participate in group discussions and meetings
o Support programs with clerical needs such as making copies, purchasing supplies, and following up on service needs o Respond to service inquiries, request for information,
Human Resources
o Assist with the recruitment of employees by posting and managing job opening announcements and onboarding employees
o Assist with the retention of employees by creating positive employee experiences through planning employee appreciation initiatives and coordinating professional development opportunities
o Monitor all employee files for accuracy, completeness, and compliance with regulations
o Assist management with performance management by generating monthly performance reports
o Manage and onboard volunteers for the department o
Financial and Budget Management:
o Manage and onboard volunteers for the department
o Assure prudent, responsible use of all financial resources available to YOUTH OASIS;
o Develop program budgets in coordination with ProgramDirector
o Ensure preparation and maintenance of thorough, accurate, and timely financial records and reports;
o Ensure that all contract requirements are met
o Review all uploaded receipts and assist with creating financial reports by categorizing expenditures
o Manage all agency supervised youth accounts.
o Submit monthly invoices for various programs to ensure accurate and timely payment

Minimum Qualifications:
o High school diploma or equivalent
o Three years’ experience as an assistant or in a leadership role
o Proficient with Word, Excel, and general office machines;
o Must be 21 years of age or older;
o Must have own dependable transportation
o Proof of Louisiana State Driver’s License in good standing, auto insurance; and
o Must complete a background check.
Required within first 30 days of employment:
o CPR/First Aid/Blood-borne pathogens certifications required;
o Full understanding of the CPS reporting requirements.
Preferred Qualifications:
o Bachelor’s Degree in Human Services, Non-Profit Management or Organizational Leadership.

o Must have a negative TB test; and o Full understanding of the CPS reporting requirements.
