Job Description

Yext is looking for an  Administrative Manager to help support our Human Resources, Legal, Finance, and Workplace team! In this role, you have the strong ability to think on your feet, assigning an appropriate level of urgency to specific situations and working on projects independently.

What You'll Do

  • Support the HR, Payroll and Legal team in administrative and organisational tasks.
    • Organise, structure, prioritise and deal with administrative processes relating to formal communications from German authorities. 
    • Liaise with external partners (insurance companies etc) in conjunction with the Payroll and Legal teams to ensure legal compliance. 
    • Manage Yext Germany’s communication channels: 
      • Manage letters that arrive at the office and are sent to Yext GmbH (open, scan, forward and translate if required)
      • Manage e-mail received via the German general contact email address; (forward and translate if required)
    • Ensure all leaver work certificates and questionnaires are completed correctly.
  • Welcome new hires, grant access to coworking spaces.
  • Work with the HR and IT departments to manage the distribution and return of IT equipment from joiners/leavers.
  • Attention to safety, cleanliness and the day-to-day efficient functioning of the general office environment
  •  Inventory office &  pantry supplies as required 
  •  Help coordinate space planning, update seating plans, perform moves, and provide workplace support in conjunction with our Workplace Manager; Act as the liaison between local vendors providing site services, including but not limited to commercial movers, carpenters, security, building management and electricians
  • Act as liaison with IT Support to support local IT and AV needs 
  • Coordinate with HQ and other workplace teams to plan events for the German offices (Manifesto, Y days, etc).

What You Have

  • 2-3 years of administrative experience
  • Fluent in German and English, oral and written
  • Excellent customer services skills with the ability to interact with all levels of personnel within the company, external customers, and vendors
  • Display a willingness to be flexible and exhibit a professional manner
  • Excellent organization and time management skills
  • Excellent interpersonal and communication skills Ability to work independently
  • Proficiency with MS Office (Word, Excel, PowerPoint) Ability to process invoices for department manager approval
  • Proficiency to learn new technology platforms and systems
  • Flexibility required if additional work hours are needed
  • Ability to lift between 30 – 40 lbs
  • Location of role is in our Berlin office with remote support for Munich office
