JOB TITLE: Project Associate

Works by JD is a premier construction & remodeling contractor with a staff of thirty and a central office/shop in downtown Beverly. The company’s reputation for providing superior quality, high-end residential remodeling is the result of our high caliber carpentry and painting craftsmen. Works by JD specializes in kitchen, bathroom, basement, attic, and full home remodeling along with home additions, custom carpentry, decking and painting services. Due to our consistent growth, we are seeking a Project Planning Associate to join our team.

Job Overview:

The Project Associate position primarily supports functions within the office across the Marketing, Administration/Human Resources, Business Development and Operations Department. This is a forward-facing administrative position which actively interfaces with our internal teams, clients, subcontractors, vendors, and clients. Your responsibilities include but are not limited to the following areas:

Assist the Marketing Department with:

  • Logging and tracking customer inquiries,
  • Setting appointments
  • Social media awareness and postings
  • Database maintenance, using CRM to keep records of prospective customers
  • Qualifying leads from phone inquiries
  • Other marketing tasks, as assigned by the Marketing Director

Assist the Administrative / Human Resources Department with:

  • Recruiting and interviewing activities
  • Orientation of employees
  • Tablet and phone set up and inventories
  • Handling front-desk activities, such as answering calls, opening mail, and scanning invoices
  • Printing and mailing check batches, bank deposits
  • Greeting and welcoming walk-in customers/building client relationships
  • Other administrative/HR tasks and projects, as assigned by the Office Director or the CFO.

Assist the Business Development / Operations Department as back up to PPS Admin with:

  • Reviewing and updating job scopes and materials lists
  • Creating and updating job binders, all necessary documentation obtained prior a project’s start date
  • Assisting with client communications, surveys, scheduling, and updates etc.
  • Updating our project management system and tools, complete project setups, schedules, updates, and reviews
  • Assisting with subcontractor, vendor and supplier sourcing, research, BT set up and communications
  • Assist with special orders research and procurement
  • Manage the permitting process. Work with town officials on special or non-compliance requirements
  • Communicate ideas, efficiencies, and issues to senior leadership
  • Assist with PPS, Operations, and project reporting processes
  • Complete special projects and off-site tasks as needed

Assist the Operations Department with:

  • Manage the shop and trailer inventories
  • Manage fleet maintenance and inventories
  • Complete special projects and off-site tasks, as needed

Qualifications:

  • Experience working in a project management environment responding to high end client needs.
  • System and tech savvy. Proficient in Excel, Word, PowerPoint, and Database Management tools.
  • Excellent communication, presentation, and customer service skills
  • Knowledge of the construction industry and building codes a plus.
  • Ability to multitask and set priorities
  • Excellent problem-solving skills

Other Requirements:

  • Must have a valid driver's license, solid driving record and reliable transportation
  • Eligible to work in the U.S. and willing to undergo background checks.
