Purpose

How does the position contribute to the success of the operation, division and company?

The Office Administrator performs a variety of tasks with the goal to provide a safe, clean, and organized office environment to Woodgrain corporate employees. The Office Administrator acts as executive assistant to the CEO and other corporate executives. The Office Administrator greets visitors and routes incoming phone calls using the Nextiva phone system. The Office Administrator makes travel arrangements for senior executives, assists with preparation for visitors and meetings, directs foot traffic associated with the electronic security door, and prepares mail and packages for shipment.

This person should have a general knowledge of how an office operates and be able to assist other employees and/or visitors with questions. The office administrator will assist executives with any office tasks that need to be done and exemplifies the company values of Integrity, Safety, Servant Leadership, Respect for People, and Customer Focus.

Essential Duties, Responsibilities, Expectations and Performance Measures What measures or metrics will the individual be measured on and what level of performance is required?Other duties may be assigned.

  • Answer phones & transfer to correct extension
  • Provide administrative support to the Executive team (CEO, CFO, CIO, VPHR)
  • Direct visitor traffic to proper departments
  • Responsible for inventory and purchasing supplies for office, break rooms, bathrooms, and office cubicles
  • Coordinating cleaning the building, break rooms and coordinating any repairs with maintenance
  • Distributing and direct management of key access cards for entry doors
  • Coordinating all mail visitors, such as mail, FedEx, UPS, and others
  • Miscellaneous receptionist duties
    • Greet visitors
    • General knowledge of office to help with questions
  • Prepare mail and take it to the post office/sort intercompany mail
  • Enter information in systems & file insurance certificates

Knowledge/Skills/Education and Continuous Training

What skills/certification/education must the individual have/maintain/gain? Include any degrees, certifications, and licenses required.

Education / Experience / Certification

  • High school diploma or GED; bachelor’s degree preferred
  • Minimum 5 years of administrative assistant experience in a professional office

Knowledge, Skills, and Abilities

  • Working knowledge of Microsoft office products; proficient using Excel and Word
  • Strong communication and interpersonal skills
  • Strong ability to keep inventory and manage supplies
  • Detail oriented to ensure success in a repetitive environment where accuracy is essential.
  • Multi-line telephone system experience
  • Problem solving skills
  • Proficient computer and 10 key operation
  • Typing – min 45 w.p.m.
  • Ability to listen, write effectively and speak clearly
  • Effective time management and organizational skills
  • Ability to deal with people in a pleasant and professional manner, both face-to-face and over the phone

Reporting Line and Supervisory Responsibilities

The position reports to the CFO

No supervisory responsibility.

What working conditions or physical functions are normally required to perform the essential functions of the job?

The physical demands and work environment is representative of a typical office environment, though this person is expected to occasionally be on and work in the manufacturing floor/environment. While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear. The employee must occasionally lift or move up to 25 pounds.

This is a full-time position; office hours for this position are 8 A.M. to 5 P.M., Monday thru Friday.
