Weston & Sampson is Hiring an Administrative Coordinator Near Boston, MA

 

Weston & Sampson is currently seeking a confident, self-motivated and resourceful professional with a “can-do” attitude and a keen sense of judgment to work out of our Boston, MA office. The position demands the ability to juggle/respond to multiple deadlines under pressure and work with a broad range of staff simultaneously.

 

The ideal candidate will be tenacious in keeping office leadership on task with both project related and corporate administrative processes.

What you'll do:

  • Collaborate with technical staff in the preparation of information and materials for submittals
  • Organize, edit, and reproduce required submissions, proposals, and qualification statements
  • Track new business opportunities and RFP/RFQ releases; monitor deadlines
  • Booking new projects and amendments
  • Tracking project and reporting project budgets
  • Assist with coordinating advertisements and preparing for tradeshows
  • Maintaining and updating data in our CRM database
  • General administrative tasks including intermittent coverage of the front desk/reception area, completing administrative forms, preparing/revising letters and reports, financial tracking of invoices and A/R, office supply ordering and general office management.
  • Support licensed professionals in tracking continuing education units and finding appropriate classes.

What you will bring:

  • Strong communication, writing, computer and organizational skills
  • Bachelor’s degree, preferably with an emphasis in marketing, communications, business or a related technical field
  • Experience working in the A/E marketing industry is preferred but not required
  • Experience with Microsoft Word, Excel, PowerPoint, Outlook and Adobe Creative Suite (Photoshop, InDesign, Illustrator) in a PC environment; knowledge of CRM platforms a plus
  • A strong visual and graphic design sense
