The Assistant Registrar at Westminster College reports directly to the Registrar and is located in the Office of Academic Affairs in Westminster Hall. The Assistant Registrar assists the Registrar in maintaining complete and accurate records and with the basic day-to-day operation of the Registrar’s Office, often works independently and makes decisions without supervision. The successful candidate is willing to learn how to use Westminster’s student information systems and relevant internal software platforms.

Requirements

Essential Functions:

  • Assist with processes related to academic advising, preregistration, and registration, including preparation of information included in course schedules for all terms and completing all operations in the Registration and Advising modules in Jenzabar.
  • Maintain and assist with entering and managing data in Jenzabar academic database and processing all administrative forms and all student e-forms.
  • Coordinate and maintain all student applications for consortium and MMACU program enrollments
  • Run midterm end-of-semester processes to post grades and prepare reports as needed.
  • Maintain classroom chart and calendar for classrooms.
  • Maintain, archive, and retain all records (digital and physical) in the Registrar’s Office in accordance with FERPA regulations and best practices.
  • Assist with processes in preparation for graduation. Assist with graduation ceremony as needed.
  • Welcome visitors to the Registrar’s Office and provide excellent customer service to all, including faculty, students, staff, and guests.
  • Work closely with members of the Office of Academic Affairs and provide assistance when needed. 
  • Create and maintain documentation of office procedures.
  • Other duties as directed by the Registrar and academic deans.

Job Requirements:

Education: Bachelor’s Degree required.

Experience:  At least three years of experience in an office setting required. Previous experience in an Academic Registrar’s Office preferred.

  • Ability to work as a member of an office team in a professional and friendly manner;
  • Experience with and ability to handle sensitive and/or confidential information;
  • Proficiency in Microsoft Word, including ability to edit and format large documents;
  • Proficiency in Microsoft Excel;
  • Ability to maintain electronic calendar in Microsoft Outlook;
  • Knowledge of other Windows-based software and willingness to learn operations in Jenzabar and other internal management platforms;
  • Ability to work occasional weekends and evenings.
