Western Dental Services, Inc. is Hiring a Facilities Coordinator Near Orange, CA

Overview

The Facilities Coordinator supports the Facilities Department with tasks necessary for the efficient operation of the Facilities Department. The Facilities Coordinator receives necessary direction from a Manager and works both independently and as part of a team.

To perform this job successfully, the individual must possess the ability to thoroughly grasp principles and practices that pertain to this department. Employee must work cooperatively with all staff levels.

Responsibilities

  • Support offices via Property Managers’ requests as needed
  • Follow up on service request to confirm tasks are complete
  • Learn and regularly access ServiceChannel to create, update and close work orders
  • File and retrieve organizational documents, records and reports
  • Assist with annual reporting and renewals for x-ray and radiology imaging registrations, fire extinguishers and permitting as necessary
  • Assist with miscellaneous filings for insurers
  • Create and file documents for all newly opened/purchased offices to maintain compliance with regulatory agencies; EPA, Hazardous Waste, Radiation, Pressure Vessels
  • Manage company related service contracts for, but not limited to, water filtration systems, satellite dish, fire extinguisher certifications, etc.
  • Process notifications of corporate changes to all regulatory authorities
  • Create and track purchase orders
  • Review invoices for accuracy
  • Track various licensures and building permits
  • May conduct research, compile data, and prepare reports
  • Maintain office supplies and inventory
  • Open, sort and distribute all incoming correspondence
  • Set up and coordinate meetings and conferences
  • Support staff in assigned project-based work
  • Administratively support VP of Real Estate and Director, RE Operations
  • Perform general clerical duties as assigned
  • Perform such other duties and assumes such other responsibilities as assigned

Qualifications

  • High School Diploma, Associates degree preferred
  • Minimum of three (3) years in an administrative role
  • Excellent verbal and written communication
  • Proficiency in Microsoft Office
  • Must be self-motivated, confident, highly dependable, and have solid follow- up skills.
  • Ability to interact with other departments to gain access to necessary information
  • Ability to multitask
