SPECIAL NOTICE REGARDING THE WORK LOCATION OF THIS POSITION—Although WestEd provides the option of working at one of its facilities for employees, many roles allow employees to choose to work remotely for their own convenience. The Opportunity

As a Project Manager in Early Childhood Learning and Development, you will coordinate and support the operational needs for projects and proposals to ensure deliverables are submitted on time, on budget, and are of the highest quality. You will contribute by planning, monitoring timelines, and creating systems that facilitate communication and information flow within the team and externally with current and potential clients.

Serving as a core member of our team, the Project Manager will advance WestEd’s commitment to equity through contributions to projects that inform policies and practices in early learning settings for children ages birth to 8, particularly children of color and those from historically marginalized groups. This role will focus on four key areas of project management: Task and Timeline Management, Communication Processes and Tools, Operations Improvement and Support, and Business Development.

Core Focus Areas

Task and Timeline Management

  • Set up and maintain project plans using Smartsheet to support ongoing efficiency
  • Manage the timelines and coordination for development of training resources for both print and video production
  • Collaborate with project directors and task leads to manage project tasks, resource requirements, timelines, and task dependencies across several simultaneous projects
  • Coordinate with other project managers about resource allocation and shared staff
  • Coordinate with external partners when necessary due to project scope
  • Track multiple deliverables and navigate conflicting deadlines in consultation with project directors and supervisor
  • Complete monthly, mid-year, and year-end progress reports

Communication Processes and Tools

  • Participate in regular project meetings
  • Facilitate ongoing communication about project activities, timelines, progress on deliverables, and upcoming activities for smooth and timely workflow within the team
  • Facilitate clear communication with external clients and partners
  • Identify potential issues and risks, escalating as appropriate
  • Manage project dashboards developed in Smartsheet to facilitate managing and sharing deliverables, status, and other information with staff, clients, and partners

Operations Support

  • Create and implement protocols for team members’ ongoing use of project management tools
  • Provide training, technical assistance, and troubleshooting to staff and clients on project-related technology
  • Assist with purchase and purchase order requests as needed
  • Process invoices as needed
  • Contribute to onboarding staff new to projects/area of work
  • Provide support in implementing and/or improving processes

Business Development

  • Coordinate the development and production of proposals for funding
  • Prepare descriptions of team projects, activities, and staff roles for use in proposals and agency reporting

What We’re Looking For

To help us make a positive impact on early learning and care, we’ll need someone who has:

  • Experience in managing multiple, and at times, competing project timelines
  • Able to complete tasks independently with guidance from leadership and collaborate effectively with team members
  • Demonstrated experience in balancing the need for rigorous task management with the flexibility to adapt to established team culture, project/client needs
  • Bachelor’s degree or master’s degree
  • Five or more years of experience coordinating projects with multiple deliverables and deadlines
  • Demonstrated attention to detail, excellent organizational and communication skills
  • Demonstrated proficiency using Microsoft Applications: Excel, Word, and PowerPoint and willingness to use technology tools such as Box and Smartsheet to support project management and communication

  • Experience working as part of a racially, culturally, and linguistically diverse team
  • Demonstrated ability to collaborate with others both one-on-one and as part of a team

  • Note: Visa sponsorship is not available for this position. Successful candidates must be authorized to work in the United States.

SALARY AND BENEFITS:

The full salary range for this position, WestEd level F, is $74,080 to $111,100 but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $74,080 to $92,600 and the actual offer takes into account multiple factors including but not limited to education; experience; internal equity, and other organizational needs.

In addition to the base salary, benefits include:

  • 15% contribution toward retirement effective day 1 of employment (Example: Total Cash Compensation based on $100K annual salary 15% ($15,000) = $115,000/yr with WestEd retirement contribution)
  • Pre-tax Flexible Spending Accounts
  • All health/welfare benefits are effective first of the month following hire date
  • PTO: 3 weeks’ vacation (increases to 4 weeks beginning the 4th year of employment) 13 paid holidays / 12 days paid sick leave per year
  • Life Insurance: value of 3x gross salary (Example: Based on annual salary of $100K x 3 = $300,000 Life Insurance value)
