POSITION SUMMARY

We are looking for a Call Center Representative to act as the first point of contact for WFAI. As a Call Center Representative, the agent will perform a variety of patient-focused customer service duties in support of the day to day needs of the organization.

DUTIES AND RESPONSIBILITIES

  • Answer incoming phone calls and take appropriate action for each call
  • Schedule patient appointments for all providers at all locations
  • Validate and update all patient registration and insurance information, as required
  • Demonstrate knowledge of WFAI services utilizing available protocols, tip sheets and resources
  • Serve as a virtual information desk receptionist for the entire organization. Triage calls and takes messages or transfer calls accordingly
  • Routinely check the queue to monitor calls holding
  • Monitor all schedules for errors or overbooking
  • Accommodate schedule changes; make outbound calls to re-schedule or confirm appointments, as needed
  • Assess emergency calls; escalate calls to doctors, as appropriate
  • Perform service recovery, address patient concerns and de-escalate callers; involve management, when needed
  • Make outreach calls to patients
  • Complete the Call Center scorecard metrics – average score must be above 90% or retraining occurs
  • Partner with team members to achieve and maintain call center target metrics which ensuring delivery of a positive patient experience
  • Perform daily self-audits and meet assigned goals as defined by management


QUALIFICATIONS/ EDUCATION/ CRITICAL SKILLS

  • Minimum of 1-year experience working in a call center or performing patient appointment scheduling
  • Previous experience in a medical practice is desired
  • Bilingual is a plus
  • Demonstrates accuracy and attention to detail
  • Ability to handle a high call volume while maintaining high performance
  • Able to multi-task between inbound calls and offline functions
  • Strong computer skills
  • Excellent interpersonal and communication skills
  • Demonstrates a personal commitment to promoting and providing excellent customer service
  • Possesses a friendly personality that enjoys assisting people
  • High level of professionalism
  • Great problem-solving abilities; thinks quickly and uses appropriate judgment
