We are actively seeking a results-orientated and dependable candidate to join our Human Resources team. This is a job requiring a precise, independent, take-charge leader, with an eye for details. Must be able to handle multiple projects while ensuring that the “little things” get done, and all the while being able to see the big picture.

The Human Resource Generalist will run the daily functions of the Human Resource (HR) department including hiring and interviewing staff, administering pay, benefits, and leave, and enforcing Waytek policies and practices.

Essential Responsibilities and Duties:

  • Handle all phases of the recruitment process. Collaborate with department managers to identify and draft detailed and accurate job descriptions, job postings and hiring criteria. Screen applications, select qualified candidates, and assist with the interview process by setting up interviews with hiring manager. Collaborate with the Director of Human Resources during the offer process, identifying and recommending salary ranges, incentives, start dates, and other pertinent details. Conduct background checks and employee eligibility verifications. Respond to all employment-related inquiries.
  • Lead and/or manage employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Administer the payroll process in conjunction with outside payroll service to ensure accurate and timely bi-weekly payrolls, including base pay, commissions, and bonuses. Set up supplemental checks for child support agencies, loan repayments, garnishments, etc. Collect data, perform calculations, investigate, and resolve discrepancies, update payroll master file, and transmit data while maintaining confidentiality. Complete year-end payroll procedures and ACA reporting. Ensure compliance with state and federal tax regulations.
  • Review, track, document, and manage all onboarding activities for new employees utilizing HRIS system including employment set up, background checks, reference checks, I-9 verification, and state new hire reporting requirements. Set up and manage HR personnel files.
  • Administer the benefits programs including healthcare, health savings accounts (HSA), dental care, life insurance, disability, voluntary insurance plans, and Paid Time Off (PTO) plan. Communicate benefit information to employees, enroll employees and process changes to their status, maintain employee benefits files, assist with the investigate and resolving problems in conjunction with Director of Human Resources. Coordinate annual open enrollment process. Assist in preparing materials and in presenting benefit plan changes to employees. Process employee terminations related to benefits including COBRA continuation for health, dental, and life insurance conversion, and unemployment compensation benefits. Review and approve monthly invoices from insurance providers.
  • Assist with the administration of the performance management program to ensure effectiveness, compliance, and equity within organization.

Additional Duties:

  • Provide HR policy guidance and interpretation. Advise supervisors and management of proposed appropriate resolution of employee relations issues.
  • Prepare employee separation notices and related documentation, and conduct exit interviews to determine reasons behind separations.
  • Ensure confidentiality of all payroll, medical, benefit, and personnel-related information, policies, and related matters. Maintain accurate and up-to-date human resources files, records, and documentation; including but not limited to separate file system for personnel records, benefit records, employment selection process records, I-9 forms (IRCA), payroll records, workers compensation related records, records related to complain investigations and employee performance issues, and employee loan files. Ensure confidentiality and limited access according to procedure.
  • Assist with Workers' Compensation administration. Obtain the “first report of injury”, review for thoroughness, and reports the incident to company’s worker’s compensation insurance carrier. Review invoices for related medical treatments and forwards to worker’s comp carrier. Through the worker’s comp. carrier, monitor the progress of employees with claims. Review any restrictions imposed by treating physicians for employees being released for duty to determine whether the restrictions can be accommodated.
  • Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices; review policies and practices to maintain compliance.
  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Conduct or assist with record audits and mandatory reports, which may include I-9 audit, EEO-1 filing, payroll audit, and other compliance reviews.
  • Assist with planning and exaction of special events such as benefit enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Maintain tuition reimbursement files and ensure timely processing of reimbursement for successful completion of coursework.
  • Run and distribute standard reports and perform ad hoc reporting and support to departments as needed.
  • Propose improvements to policies, programs, and procedures to improve effectiveness of Human Resources function and operations.
  • Performs other duties or activities as assigned.

Requirements:

  • Bachelor’s degree or equivalent experience. Prefer Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Minimum of four years of related human resource experience.
  • Minimum of two years of experience with the recruitment process.
  • Prefer experience working with payroll and benefits.
  • Working knowledge of multiple human resource disciplines, including Human Resource Management best practices, Employee Relations, Diversity Equity & Inclusion (DEI), Performance Management, Payroll, Benefits, and federal and Minnesota employment laws.
  • Experience working with or strong knowledge of file management and record retention.
  • Proven ability to work independently, multi-task, and prioritize.
  • Thorough knowledge in employment laws (federal and state of Minnesota) and Human Resources best practices.
  • Must have high level of discretion and ability to handle sensitive and confidential information appropriately.
  • Credential, certification, or ability to obtain certification within one year of employment - Professional in Human Resources (PHR), Senior Professional in Human Resources (SPHR), SHRM Certified Professional (SHRM-CP), or SHRM Senior Certified Professional (SHRM-SCP), etc.

  • Ability to acquire a thorough understanding of the organization's hierarchy, jobs, qualifications, compensation practices, and the administrative practices related to those factors.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite and related software.
  • Proficiency with or the ability to quickly learn the organizations HRIS and talent management systems.
