Job Description

The Technical Writer writes, formats, maintains, and distributes—both to customers and internally—the VR Systems Help systems and user guides (generally for online distribution but occasionally for print). To perform these tasks, the Technical Writer reviews all existing source materials and documentation logs, exercises the software, and interviews development and support staff to obtain all information necessary to create the documentation.

In exercising the software, the Technical Writer may also write up logs to document software bugs and suggest enhancements.

As a member of the Development team, the Technical Writer participates in product-development meetings where the user experience is under discussion so that they may contribute ideas prior to extensive development of the user interface. During these meetings, they gain an early understanding of user needs and reasons why features are included in order to provide user-centric product documentation. In addition, the Technical Writer should interact regularly with VR Customer Support teams in order to identify any additional new documentation requirements or documentation improvement opportunities.

In collaboration with the VR Marketing Specialist, the Technical Writer maintains the VR Systems Style Guide as it relates to grammar, terminology, style and formatting conventions. In addition, the Technical Writer will work with the VR Marketing Specialist to keep product documentation templates and style sheets up to date with current corporate branding.

The Technical Writer also provides editorial and formatting support to staff who are developing training materials and videos, customer communications, webinars, and external presentations for adherence to VR style guidelines and to maintain a consistent customer experience across all products. From time to time, they may also provide content for pages on the VR Systems website that are focused on user training and communications (such as pages introducing features in a new release).

The Technical Writer should stay abreast of developments in tools and communication methods used by the technical communications community and recommend changes in the tools and communication formats and methods used at VR Systems when appropriate.

As a member of a cross-functional team, the Technical Writer provides input on the structure, format, and delivery of content in the VR Systems User Community and assists with maintaining the community to provide a customer-friendly user experience in finding and using product documentation, training materials, and other corporate communications provided in the User Community.

The Technical Writer reports directly to the Development Manager.

Job Requirements

The Technical Writer—first and foremost—must be able to write clearly and concisely and to organize written material in a way that is easily consumed by the reader. They must have a workmanlike (at least) understanding and facility with American English grammar, spelling, and syntax. They must also be able to conceptualize graphical illustrations of concepts where such illustrations are needed and either create those graphics or provide our graphic artist with sufficient information to complete the work.

The Technical Writer must be able to quickly grasp how the various parts of our software works from a user-experience perspective and be able to interpret sometimes complex concepts or procedures in a logical, straightforward manner. In doing this, the Technical Writer analyzes what tasks our users are trying to accomplish with our software and documents how best to accomplish those tasks, so our paying customers don’t have to spend their own time “figuring things out.” This is the main value the Technical Writer adds to VR Systems’ products.

The Technical Writer must be able to organize and complete their own work assignments independently without direct supervision, although they receive direction on prioritizing work from the Development Manager. They must be able to organize documentation project work plans and coordinate the work of others during the creative, writing, and production phases of a documentation project.

In terms of specific skills, the Technical Writer must have an excellent working knowledge of Microsoft Word, Adobe RoboHelp, and one or more common screen-capture and graphics editing programs such as Snag-It. They will need some understanding of Microsoft Excel and PowerPoint. Ideal, but not mandatory, is experience with Mad Cap Flare.

Familiarity with developing documentation in a Scrum agile environment is ideal.

This position is classified as exempt and is not covered under the provisions of the Fair Labor Standards Act (FLSA).

Physical Requirements

Ability to sit at a desk for one or more hours at a time.

Ability to operate computer and other equipment in the office.

Ability to work on multiple tasks and assignments throughout the day.
