Job Description

PRIMARY OBJECTIVE OF POSITION

To provide administrative/clerical support in a manner that contributes positively to the smooth-running operations of Shotshell, Pistol and Rifle Plants.

SHIFT: Monday through Friday Day Shift

MINIMUM QUALIFICATIONS (Experience, education, licenses, certifications, and specific knowledge, skills and abilities required for the position.)

  • High School Diploma or GED
  • 1 years post-high school business or administrative/secretarial training OR equivalent experience
  • 2 years administrative/clerical experience
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint, including the ability to format reports, forms, spreadsheets, presentations, and correspondence
  • Numerical aptitude
  • Dedicated to continuous improvement of processes and procedures
  • Demonstrated ability to handle sensitive information in a discreet and confidential manner
  • Excellent organizational skills and attention to detail
  • Excellent interpersonal and communication skills

ADDITIONAL DESIRABLE REQUIREMENTS

  • Experience in a manufacturing environment
  • Knowledge of Shotshell, Pistol, Rifle manufacturing processes
  • Experience with Microsoft Access
  • Experience with MAX

ESSENTIAL FUNCTIONS (Fundamental duties necessary to achieve the objective of the position.)

  • Provide administrative support services for Shotshell, Pistol and Rifle Manufacturing Managers and Manufacturing Supervisors.
  • Handle general or project-oriented administrative tasks including but not limited to:
  • creating and maintaining spreadsheets and databases including data entry
  • creating and running new and on-going reports
  • documentation administration as required for ISO including training plans
  • assisting with physical inventory activities
  • preparing materials for presentations or meetings
  • coordinating travel arrangements and expense reports
  • scheduling meetings and arranging appointments including ordering meals/beverages
  • copying and faxing
  • developing and maintaining departmental files, manuals, etc.
  • ordering supplies and keeping inventory stocked using 5S activities and methods
  • opening, sorting and prioritizing mail
  • arranging department appreciation events
  • Assist customers (internal and external), answering questions or forwarding to appropriate people.
  • Deliver messages to plant floor as necessary.
  • Prepare and process ECN’s (Employee Change Notices).
  • Maintain knowledge of personal computers and related software programs and assist in the process of continually updating and improving office technology.
  • Distribute and post company and department updates and announcements.
  • Maintain knowledge of the departmental systems and participate in the development and implementation of process improvement and system enhancements.

SPECIFIC REQUIREMENTS OF THE POSITION (Knowledge, skills and abilities currently used to perform essential functions)

Physical Requirements : Sitting approximately 75% of the time conducting computer and telephone duties at workstation, with 25% standing and walking when in the plant. Frequent lifting up to 10 pounds, and some lifting and carrying books and product samples of up to 25 pounds. Some standing and movement to copy and file and some minor stooping, reaching and handling. Manual dexterity for computer use. Extensive talking and hearing to communicate with internal and external customers.

Mental Requirements : Reading comprehension for all duties, and math/number aptitude to effectively work with payroll, manufacturing, and inventory information and to prepare reports/graphs/charts. Ability to use appropriate judgement and discretion, and to recognize and protect confidential information. Good communication skills for interaction with employees, supervisors, managers, and other departments. Work initiation and strict attention to detail and deadlines. Flexibility to handle multiple concurrent tasks with frequent interruptions. Ability to learn new computer applications and departmental practices.

Equipment Used : Personal computer, copy machine/scanner/fax, calculator, telephone.

Working Environment : General office environment in a manufacturing setting 60-75% of time, and 25%-40% of time spent in manufacturing plant. All work is done around other people with minimal supervision. Work is done during weekday shift hours. When in the plant, incumbent is exposed to temperature changes, dirt, dust, noise, vibration, moving objects and mechanical parts, equipment and explosive hazards.
