Job Description

The HR Benefits Assistant provides support across all areas of the Benefits team within the Division of Human Resources. The Assistant will provide support for New Employee Orientation and assisting with administration of optional benefits such as Legal Resources, Securian, Zurich, New York Life, Genworth, UNUM and Aflac programs. The Assistant will also aid with special projects, data analysis and provide administrative support in any area of Benefits as needed.
New employee orientation responsibilities:
  • Coordinating and scheduling new hires for orientation
  • Provide information to orientation attendees (and presenters) prior to each orientation session (including information for virtual attendees to access)
  • Prepare and provide relevant materials to each new hire based on position type
  • Track orientation attendance, follow up on missing attendees
  • Track receipt of enrollment and benefit election forms, provide timely reminders to new hires with missing information and follow-up as necessary to prevent default enrollments
  • Assist with set up and clean up for orientation sessions
Optional benefits responsibilities:
  • Process enrollments, changes and terminations in a timely manner
  • Assist employees with understanding benefit election options and provide appropriate direction or contact information to for optional benefits
  • Engage with account representatives as needed
  • Assist with coordination of annual benefit open enrollment periods
  • Conduct reconciliations of premiums owed versus paid, research and resolve any discrepancies including vendor issued refunds

Required Qualifications

  • High School Diploma.
  • Experience providing administrative and/or program support in an academic or professional office environment.
  • Must be proficient utilizing applications such as MS Outlook, and MS Office.
  • Experience with developing professional, easy to understand, and compliant communications.
  • Strong organization skills, detail oriented, ability to prioritize work, and handle multiple tasks simultaneously.
  • Ability to interpret and effectively convey policy information and guidelines.
  • Excellent communication and interpersonal skills and ability to interact comfortably with a diverse employee population.

  • Associate’s Degree in business, administration, HR or related field
