Veterans Health Administration is Hiring a Program Support Assistant (O/A) Near Oklahoma, OK

This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Rocky Mountain Network (VISN 19), Oklahoma City VA Health Care System (VAHCS), and Research and Development Service. The primary purpose of this position is to support the Associate Chief of Staff, Administrative Officer (ACOS), team members and staff of the Research Service, by performing varied task assignments that support clerical and administrative tasks.

Qualifications:

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:
  • Experience in practices and procedures involved in data collection, validation, and review in order to perform a wide range of interrelated procedural assignments and ability to independently resolve a wide range of related problems.
  • Interpret VHA rules, regulations, directives, policies and specified guidelines related to completing program assignments.
  • Knowledge of and ability to perform data validation and understanding of its relation to the operations, workload statistics, planning, and decisions of the Medical Center
  • Knowledge of program goals and desired outcomes to analyze problems, assess alternatives and make clear, well-defined recommendations.
  • Experience in a variety of software programs to gather, analyze and display data utilizing templates, graphics and spreadsheets.
  • Ability to complete assigned projects, studies, narrative and statistical reports, and reviews in a thorough, accurate and timely manner and the ability to effectively communicate the results and/or complex issues orally and in writing.
  • Ability to execute multiple projects simultaneously to meet deadlines.
  • Ability to rank priorities and exercise judgement in the execution of routine duties is essential when the tasks range from minimally important to high priority.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Responsibilities:

The primary duties of the Program Support Assistant (PSA) is to assist with document processing, data collection, analysis of trends, interpretation of research announcements, implementation of best practices, departmental quality improvements, and various administrative tasks.

Major duties include but aren't limited to:
  • Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the Research program operations.
  • Assists in the planning, review, and reporting of data/statistical results of program/project studies; establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data.
  • Performs a basic analysis for the data and generates a variety of reports, to include an annual report that is submitted and disbursed in a National database.
  • Coordinates incoming data from a variety of sources, reviews documents, reports, for omissions and inconsistencies, and ensures data entry is complete and accurate.
  • Enters pertinent information into computerized tracking systems such as MS Excel, MS Access, ePROMISE, CPRS, Vista; and maintains program-specific data in various computer systems to track suspense's on items such as project or response milestones, progress reports on Service action items, accomplishments, competencies, and compliance strategies and trends, etc.
Work Schedule: Monday-Friday 8:00am-4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Physical Requirements: The work is sometimes sedentary but requires standing during presentations or training; bending; and carrying light items, such as paper, books, or small parts.
