VentureWell is Hiring a Remote Program Administrator

Responsibilities:

  • Provides program workflow support through project management tools, databases, and communication systems
  • Develops information for meetings (including preparing and formatting reports, presentations, program materials, in addition to note taking, drafting agendas, etc.)
  • Schedules and manages video conferences, webinars, and meetings with internal and external participants, sometimes in large groups
  • Assists with in-person meeting logistics (domestic and international) such as ordering food, setting up a/v and other details necessary to ensure a successful meeting
  • Inputs and tracks contacts, activities, deliverables, and other information in various systems and tools, such as Salesforce
  • Coordinates and manages travel logistics, including coordinating with travelers on itinerary needs, complying with funder requirements for travel and lodging, purchasing flights, vetting and reserving hotels or other housing, and bidding and contracting any on-the-ground transportation required for VentureWell staff, consultants, and teams
  • Collects and organizes travel and other stipends, payments and other materials for submission to VentureWell's Finance department, ensuring compliance with internal and government policy 
  • Works collaboratively across VentureWell teams to develop and manage various programmatic activities, including contracts, invoices, payments, and marketing/communication materials
  • Understands and is able to communicate compliance requirements associated with assigned programs/grants
  • Conducts outreach and communication with program participants around key program dates, meetings, upcoming activities, logistical needs, and other information as required
  • Supports bulk communications as needed
  • Documenting and filing program materials, updates, etc, and keeping an up-to-date digital filing structure 
  • Help with program materials as necessary, including quality control, proof-reading, development of new materials and distribution of materials.
  • Helps generate, ensure quality, and disseminate data reports

Requirements:

  • At least 3 years of related administrative experience
  • High degree of digital fluency using a variety of office tools such as GSuite, CRM systems (experience with Salesforce a plus), team collaboration/communication tools, and other web-based applications
  • Project management skills and ability to meet deadlines
  • Excellent organizational skills
  • Experience working, traveling or making international travel plans required
  • Highly proficient in Microsoft Office Suite
  • Thrives in an environment that is agile, with competing and changing priorities
  • Excellent communication skills, including communicating with diverse groups of funders and participants

Nice to Haves:

  • Experience working with Federal Agencies a plus
  • Experience with management and/or administration of federal contracts a plus
