Position is full time onsite in the San Jose office everyday.
Responsibilities
Provides multi-faceted administrative support and assistance to ensure effective use of an executive’s time.
Activities
Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Manages the executive’s schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the executive and prepares summaries and reports. Develops positive and strategic relationships at all levels of the organization. Uses discretion, judgement, and knowledge of the organization to facilitate the executive’s activities and maintain confidentiality.
Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external customers
Schedule meetings and appointments and manage travel itineraries
Work with Human Resource Manager to arrange corporate events
Qualifications
Proficient at Word, Excel and PowerPoint, the majority of Microsoft Office. Must be dependable and able to handle all CEO matters in a confidential manner. Needs to be organized, high energy, polite, a good listener, self-starter with good work ethics as well as interacting in a professional manner. Excellent written and verbal communication skills are a must.
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Exceptional interpersonal skills
