Utah State University is Hiring a Reservations Coordinator Near Logan, UT

Overview

Event Services is a growing department whose primary function is to assure the events hosted by Utah State University, "Exceed Expectations". The primary purpose of the Reservations Coordinator (Coordinator II) is to schedule events through the Event Management Software (EMS) system. The position will also manage equipment rental in the EMS system; be a support to the Catering Sales Team; and aid Event Services Coordinators in event management, equipment rentals and invoicing.

Responsibilities

  • Schedule, organize, and prioritize all the events scheduled in venues that Event Services oversees.
  • Liaison between Event Coordinator, client, and equipment rentals & services.
  • Collaborate with Event Coordinators and assist as needed.
  • Collaborate with the Catering and Central Reservations team to create and support office policies and procedure.
  • Cross-train in Catering Sales and Billing
  • Answer phones
  • Data entry and filing

Qualifications

Minimum Qualifications:

  • Two years of office experience or equivalent education/experience 
  • Proficient in Microsoft Word and Excel

Preferred Qualifications:

  • Training in EMS (Event Management Software), and or Caterease
  • Customer service in catering sales or building scheduling.

Knowledge, Skills, and Abilities:

  • High level of initiative, self-motivation, and a positive attitude.
  • Ability to work independently without close supervision.
  • Strong organizational skills and attention to detail.
  • Strong clerical and record keeping skills.
  • Knowledge of filing systems and information management systems.
  • Ability to manage and complete multiple projects and deadlines simultaneously.
  • Ability to communicate verbally in a clear and concise way.
  • Good communication skills over the telephone with a strong voice and friendly attitude.
  • Excellent written communication skills, including correct grammar, spelling, and proofreading.
  • Excellent interpersonal communication skills including the ability to foster effective working relationships with supervisors, coworkers, and customers.
  • Thorough knowledge of Microsoft Office, especially Microsoft Excel, and the ability to work with custom database systems (training is provided).
  • Knowledge and experience with basic bookkeeping practices and procedures.
  • Ability to operate standard office equipment to include copiers, scanners, telephone systems, computer data systems, and printers.

    Minimum $32,000 commensurate with experience, plus excellent benefits
