Position Summary
The Executive Assistant is a full-time position with three specific areas of responsibility: administrative support to the Chief Executive Officer; administrative support to the Executive Leadership Team as well as administrative support to the Human Resources Manager.
General Duties and Responsibilities
CEO Executive Assistance
· Prepare digital, audio-visual, and hard copy presentation materials and periodic reports using multiple software programs
· Draft correspondence and/or communicate directly on CEO’s behalf as requested
· Manage CEO contacts, office files, and other record keeping, including legal and other sensitive, confidential documents
· Special project research, database development and management, targeted event support, and other projects as directed
CEO & Leadership Team Travel and Calendar Management
· Handle day to day activities of senior executives, including managing calendars for internal and external meeting requests, domestic and international travel reservations, conference calls, and other events
· Manage executive team expenses including travel reimbursements and monthly credit card reconciliation
· Distribute meeting agendas, take notes/minutes, and distribute follow-up/action items
· Assist Human Resources Manager with governance related tasks
· Other duties as assigned
Requirements
· 1-2 years’ experience as a C-level Executive Assistant or Senior Administrative Assistant
· Expert-level proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint
· Excellent verbal and written communication skills
· Ability to maintain absolute confidentiality
· Proven ability to independently take appropriate action and make sound decisions within scope of authority
· Ability to create, compose, and edit written materials
· Highly organized with the ability to prioritize and track multiple ongoing tasks; exceptional attention to detail
· Proven ability to establish and maintain effective professional relationships with all staff levels, volunteers, key executives and public
· Ability to work in a fast-paced, high-pressure environment as part of a team atmosphere, including effective coordination with members of other departments
Additional Preferred Skills
· Graphics and audio-visual experience including Adobe Pro as well as knowledge of Mac/iOS
· Ability to deal with non-routine matters and special projects with minimal instructions and oversight
