US Offices & Unit is Hiring a HR Assistant Near San Francisco, CA
Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with more than 4,000 lawyers and staff in 31 offices is seeking an HR Assistant in our San Francisco office. Reporting to the Generalist, HR Business Partner (HRBP), the HR Assistant provides a wide range of administrative support to the Human Resources Department and the California Team. Responsibilities include but are not limited to preparing new hire agendas, maintaining personnel records, answering routine inquiries and performing other duties as assigned. A hybrid work opportunity is available for this position. Local HR Responsibilities Onboarding and Departures Prepares new hire agendas, schedules orientation process for all new hires in their assigned office(s); and ensures new hire office/location is ready for arrival. Maintains inventory of all new hire gifts for assigned offices. Coordinates the collection of firm property, security badge and keys upon departure for assigned offices. Employee Relations Liaises with HRBPs/Management and employees to provide support as requested. Assists with the annual business staff evaluation process for local administration. Supports the firm’s management principles, policies and programs and ensures they are fairly applied. Assists with memo and document preparation for personnel actions in assigned offices at the direct of Generalist, HRBP. Local Strategies and Support Assists with or coordinates/supports local Administrative/HR events as needed including Benefits Fair, Flu Shot Program, Benefits Open Enrollment, Diversity & Inclusion Presentations, Take Our Children to Work Day, Staff Appreciation, Step Challenge and Community Impact Week. Compliance Maintains accurate and up to date human resource files, records, and documentation with confidentiality and integrity. Assists with employment verification process upon escalation. Completes local I-9 processes for new hires and departures and supports the PG/Department HRBP with immigration issues accordingly. May coordinate local Ergonomics process; escalates issues to the PG/Department HRBP as needed. Ensures state and federal compliance postings are visible and up to date. Completes and sends monthly accommodations report. HRIS Ensure HRIS transactions are processed timely and accurately. Assists employees with evaluation systems training and issues as requested. Special Projects Updates Local HR Intranet pages. Contributes to Firm and HR projects as assigned. May assist with setting up and processing parking in WageWorks. Liaises with HRBPs and Centers of Excellence including Talent Acquisition, Total Rewards, Compliance, HRIS and Compensation to provide local support as needed in areas such as performance evaluations, transaction requests, employee relations, recruiting, etc. Responsible for online purchasing of office gifts for leaves, arrival of newborns, bereavement. Uploading Firm Photos. Performs other duties as assigned. Education and Experience Bachelor's Degree in HR or a related field preferred. Ideally a minimum of two years of directly related Human Resources experience, preferably in a professional services industry. An equivalent combination of education and experience will be considered. The successful applicant will also have: Excellent organizational skills; effective written and oral communication skills. Proficiency with Microsoft Office Suite, Workday. High energy; self-motivated; results oriented. Confident manner; ability to establish credibility quickly. Ability to work comfortably in a matrix organization. Ability to deal positively with adversity and difficult situations. Team player who can establish trust with all levels of personnel. Occasional travel to the Silicon Valley office is required. Must be able to work overtime as needed.
