The Opportunity We are currently seeking an Executive Assistant to support our Vice Chairman. This must be dynamic, highly motivated person, a quick thinker, possess excellent judgment and have the ability to complete tasks and projects quickly, anticipate business needs and prepare accordingly and react with appropriate urgency to situations that require a quick turnaround. The individual will be handling high level confidential information, so the successful candidate will be expected to maintain strict confidentiality and exhibit discretion and professionalism in all activities, always reflecting the values and culture of the firm. This is a highly visible role; the individual will represent the Senior Executive and act as “the face” to the larger business population. This role will be responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment. This position is based at our Washington, DC or Chicago, IL office and requires proven track record successfully supporting C-Suite level executives. ESSENTIAL FUNCTIONS Calendar and Travel Management Lead and coordinate calendar management and arrange heavy travel schedule which will include proactively identifying and providing solutions for calendar conflicts. Coordinate annual events, speaking engagements and conferences Communications & Marketing Management Communicate on behalf of Senior Executive by way of proofreading letters of recommendations, draft revisions Partner with internal Marketing & Sales team as needed. Organize incoming communications and redirect consistent with Executives’ regular practices; escalate incoming communications that require more immediate attention. Obtain client bios prior to meetings & engagements, as needed/update contact lists. Operations Maintain executive files and processes to ensure efficient organization and ease of access. Produce daily update and client updates Expense Management Support expense control initiatives including, T&E audits, smart phone purchases/cost recovery, Simplify the Business, etc. Prepare, and execute expense reports on a regular and timely basis. EDUCATION AND EXPERIENCE A Bachelor’s Degree is preferred. A minimum of 5 years in an administrative support role with C-Suite preferably in real estate. Planning and organizing – ability to establish course of action to accomplish goals and evaluate results, confirm instructions and execute accordinatly, orchestrate multiple activities at once to accomplish goals, and use resources effectively and efficiently. Interpersonal Savvy – relate well to all kinds of people inside and outside of the organization with diplomacy and tact. Quick Learner – ability to learn quickly when faced with new problems and challenges. Self-Starter – able to start and complete projects independently. Time Management – use time effectively and efficiently and with a sense of urgency. Written/Oral communications – superior ability to speak and write clearly and concisely.
