University of Portland is Hiring an Events Manager Near Portland, OR

Summary:

The University of Portland seeks an Events Manager to plan, implement, and manage small and mid-level University events, such as seminars, conferences, parties, and other related events. Specific duties include, but are not limited to, creating timelines and action plans, procuring pre and post event services, coordinating logistics, maintaining timely communications, and monitoring operations of events. This position also provides support to the department and supervisor in managing strong external customer relationships and assisting with program elements of larger scale events.

Responsibilities:

CORE DUTIES

  • Initiate and lead meetings with stakeholders to plan scope and format of events, establish and monitor budgets, and review administrative procedures and event progress.
  • Serve as project leader on specific small and mid-level events by coordinating teams that plan, implement, and manage all aspects of internal and external events. This includes all types of events, including short-term events (such as seminars, meetings, conferences, speakers, and parties) and long-term events (such as camps).
  • Proactively anticipate and address all different types of matters, issues, and concerns that may affect the successful implementation of an event.
  • Serve as a member of the Events team and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics, and managing program elements of larger scale events.
  • Manage the Event’s scheduling system and calendar through the use of Accruent’s EMS Space Management Software and diagram events using Social Tables program.
    • Specific duties in this area include but are not limited to timely and accurate event data entry and record updates; approve requests and communicate with campus departments regarding event set-up and facilities use; produce weekly and monthly events reports; troubleshoot problems and modify data collection forms as necessary; and provide training and technical support to individuals on campus in the use of Events applications as necessary.
  • Procure and coordinate vendor services. Negotiate vendor contracts, with attention to areas such as service, cost, and minimizing liability and risks.
  • Continuous written and verbal correspondence with internal partners and external clients to maintain and develop business partnerships for strong execution of events.
  • Receive, document, and report complaints regarding all aspects of events, including in areas such as customer service, staff issues, and other event related issues.
  • Provide on-site event support with the ability to navigate around University campus carrying materials and supplies while collaborating with University departments including but not limited to Physical Plant, Audiovisual services and Catering.
  • Assist with inspecting event facilities and set ups with attention to areas such as maintenance, janitorial and fire safety issues, and other safety and health related matters. Arrange for correction as needed.
  • May assist with training and supervising student employees and temporary events staff as needed. Supervisory responsibilities may include overseeing all aspects of hiring, expectation setting, mentoring and coaching, work assignments, performance management and evaluations, and disciplinary processes.
  • Assist in the evaluation of potential customers and/or events and gather data and develop analyses, reports, and presentations.
  • Assist with backup for department’s office manager duties as needed.

Other duties as relevant to the duties of the position or as assigned by supervisor or designee.

Requirements:

MINIMUM REQUIREMENTS

Education and Experience

  • Required: Associate’s degree.
  • Required: Two years of experience in event planning.
  • Preferred: Bachelor’s degree.
  • Preferred: Experience in higher education or University events.
  • Or a combination of equivalent education and/or experience.

Certifications and Licenses

  • Required: Active driver’s license.

Knowledge, Skills and Abilities

  • Demonstrated success planning events and developing client relationships.
  • Effective knowledge of event planning practices and industry standards.
  • Ability to work independently but also to receive supervisory direction constructively and work effectively in a team setting.
  • Excellent verbal and written communication skills (phone, email, in person, etc.).
  • Strong orientation toward taking ownership of projects and assignments and being proactive with process improvements.
  • Strong time and project management skills, including the ability to follow through with multiple assignments and meet deadlines.
  • Strong skills in analytical problem solving, prioritizing, and managing issues and tasks.

  • Ability to exercise excellent judgment.
  • Ability to anticipate problems and take necessary action to eliminate or mitigate them.

  • Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems.*
