Job Summary:

This position provides daily administrative work for the Vice Chancellor’s Office of Diversity, Equity, Inclusion and Community Engagement for the Anschutz Medical Campus. This position specifically is an Executive Assistant (1.0 FTE), primarily responsible for managing the administrative support to the Vice Chancellor of the DEICE office in addition to providing administrative support to the ODEICE team.

This position requires knowledge and experience in business administration with an emphasis on relationship development and process improvement. The individual in this position will be required to exercise excellent prioritization, communication, and customer service skills. In this position you must possess the ability to successfully manage competing and changing priorities. An individual with solid business/academic/finance administrative skills, a commitment to excellence, and the ability to work effectively in a fast-paced, technical, and evolving environment will thrive in our division.
Working under the direction and guidance of the Vice Chancellor of DEICE, the Executive Assistant is the senior level administrative support to the team of the rapidly growing. The Executive Assistant will communicate, document, and support various DEICE efforts and in doing so will maintain relationships with various personnel throughout the schools and colleges on Anschutz Medical Campus and Affiliate Hospitals. The Executive Assistant must exercise critical judgement and considerable initiative in administrative management.

Key Responsibilities:

Executive Administration:
  • Provide administrative support to the assigned team members within the Office of DEICE including such things as communicating with internal and external stakeholders, scheduling and maintaining calendars, arranging payment and/or reimbursements for professional expenses, greeting/assisting visitors, contact management (phone, email, regular mail), meeting notes/minutes, and other administrative duties.
  • Anticipates the needs of the office by independently researching and determining the appropriate documents, reports, and policies needed for meetings.
  • Be the lead or assist with the monthly ODEICE newsletter through compiling items to promote, gathering quarterly highlight content and items to promote; be the lead or assist with ODEICE website updates.
  • Assist VCDEICE with credentialing activities as assigned and on-boarding activities for new hires as assigned.
  • Assist the Program Director and Program Manager with maintaining various web-based profiles, and promotional portfolios, which includes dossier support, organization, and facilitation (for Senior Leadership).
Accounting and Finance:
  • In collaboration with Central Administration Shared Services, this position will act as a liaison for procurement services, travel reimbursement, and allocation for the VCDEICE, and assist other team members as deemed necessary.
  • Serves as a fiscal staff member for VCDEICE and coordinates other procurement related activities and policies, including purchase orders, payment vouchers, invoices, journal entries, transfers and a variety of other instruments in both the State and CU Anschutz Medical Campus fiscal systems.
Human Resources Administration:
  • In collaboration with Central Administration Shared Services and Anschutz Human Resources, this position will monitor electronic records within the HRIS/HCM for the Office of DEICE, and act as a liaises to process necessary updates related to: staff pay and position changes, new position creation, searches, and appointments, leave of absences, and other related transactions.
  • Provides support to the team members within the Office of DEICE for initial HR-related inquires such as payroll, time and attendance, HRIS/HCM access and use, paid time off requests and approval, and other related questions.
  • As necessary, works in collaboration with our central HR office/HRBP & other units of HR (Employee Services, Talent Acquisition & Compensation, Employee Relations) to assist the VCDEICE on various HR-related situations to include faculty and staff payroll for the office.

Onsite – this role is expected to work onsite and is located in Aurora, Colorado.

Qualifications:

Minimum Qualifications:

  • Three (3) years’ experience providing program and/or support services in an academic or institutional environment.
  • HR, Finance/Accounting and executive or advanced administrative experience.

Applicants must meet minimum qualifications at the time of hire.

Condition of Employment:
  • This is an in-person position.
Preferred Qualifications:
  • Minimum 3-5 years of experience working in a business professional, HR, Finance/Accounting, and/or administrative experience in a large academic institution environment.
  • Prior experience as an Executive Assistant.
  • Experience working with an HR or Financial Information System (ex. PeopleSoft HCM or FIS).
Competencies/Knowledge, Skills & Abilities:
  • Strong organizational skills and the ability to set priorities in order to complete assignments within stated deadlines.
  • Ability to be flexible and adaptable in the face of changing priorities and fluctuating workloads.
  • Knowledge of University of Colorado programs, services, and student populations.
  • Ability to manage and work with staff, students, faculty, university leadership and the community.
  • Sophisticated understanding of Microsoft Outlook, Excel, Word and PowerPoint, and various database programs
  • Ability to be proactive with decision making.
  • Strong ability to work independently, as well as collaboratively.
  • Strong attention to detail and accuracy.
  • Exemplary communication skills.
  • A demonstrated and genuine interest in working with faculty, staff, students and trainees.
  • Demonstrated competency in the development and implementation of programs designed to facilitate academic institutional and personal growth.
  • Ability to demonstrate a track record or commitment to creating an environment supportive of diverse opinions, ideas, and leadership styles.

Anticipated Pay Range:

The starting hiring range for this position has been established as $58,116 - $66,000.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
