Department BSD NRB - Administration About the Department We study how the nervous system works – how it is built, how it operates on cellular and systems levels, how drugs affect it, and how it is damaged in neurodegenerative diseases. Our faculty members continue to make cutting edge contributions to neurobiology research, attracting significant research grants from leading government agencies and charitable foundations. At the same time, the Department of Neurobiology is dedicated to cultivating young scientists who will take up the quest for discovery to benefit future generations. Our laboratories are teeming with some of the brightest minds in the world, all directed at studying the complexities of the brain. Job Summary The job provides specialized business support for routine office and location support activities. Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies for which the support is being provided by working autonomously within established procedures and practices. Ensures the correct functioning of facilities, office and/or business support services. Responsibilities Provide financial support with bill pay and reimbursements through procurement systems: GEMS, e-payment and Buysite. May initiate correspondence and other written materials under own signature or for signature of the leader. Triages emails and telephone calls for action. Resolves a combination of some routine and complex inquiries. Schedules meetings and maintains the Chair’s calendar. Provides office management through: Conference Room management. Ensure all office materials are stocked. Coordinates access and maintains key inventory for current and new personnel. Provides support to all departmental staff and labs on physical space management. Provides event planning organization: Order and set up catering. Travel organization for guests. Room reservations. Create travel dossiers and on-campus itineraries. Provide coordination on day of event. Reimbursement and bill pay. Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Manages a portion of the leader's budget, monitoring and reconciling accounts. Prepares financial and/or administrative reports. Provides administrative support for a leader. Stays informed of activities relating to programs and initiatives, apprising the leader of issues when deemed necessary. Coordinates information flow from leader's office. Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader's calendar. Performs other related work as needed. Minimum Qualifications Education: Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree). --- Work Experience: Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline. --- Certifications: --- Preferred Qualifications Education: College or University degree Preferred Competencies Analytical and problem-solving skills.
