The mission of the Office of Medical Education (OME) is to provide excellent support for School of Medicine learning programs through the delivery of centralized expertise, services and instructional resources for faculty and trainees (medical students, residents, and fellows). OME is an interdisciplinary team which provides a variety of services directly to faculty and trainees, including: onboarding, instructional materials, financial aid, counseling, tutoring and support for special programs. OME staff offers support for various School of Medicine and Health System committees, including the Promotions Board, the Committee on Educational Policy, the Admissions Committee, and the Learning Climate Committee. Finally, OME sponsors a number of special programs in support of the academic mission and is able to assist with the presentation of those sponsored by other administrative and academic groups.

Job Responsibilities
The Admissions Coordinator (Admissions Recruitment Specialist 2) is part of the Office of Admissions. This position works closely with the School of Medicine Admissions Leadership (Associate Dean for Admissions, Assistant Dean for Admissions, Assistant Dean for Medical Education, and Director/Manager of Admissions) to provide overall oversight to the entire Multi Mini Interview process, including setting-up scenarios and structure of the MMI, recruiting and training of interview Raters, conducting and troubleshooting each interview session, and data analysis/tracking for all aspects of the process. Combined, this process requires coordination of over 700 individuals between applicants, raters, and staff support each cycle. In addition, this position manages the entire Ranking Committee review process by working closely with the admissions leadership mentioned above and the Admissions Ranking Chair. This individual ensures all elements of Ranking Committee from recruiting sufficient number of faculty and trainees to meet the needs of the review process requirements. The process requires high level understanding by this position of School of Medicine bylaws, following FERPA while processing applications, and ensuring necessary and timely communication to over 7,000 applicants. Equally as important, this individual will be responsible for participating in outreach efforts focused on helping to produce a physician workforce that reflects the diversity of the State of California and strives to achieve educational and clinical standards of cultural and linguistic competence that ultimately will reduce health disparities and provide the best care for all patients.
This position allows for potential a hybrid schedule between onsite and remote working.
Required Qualifications:
  • Several years experience working in higher education.
  • Demonstrated experience in developing presentations and information for outreach and recruitment.
  • Experience working with a diverse student population.
  • Comprehensive knowledge of educational institution, preferably medical school.
  • Strong leadership and decision-making skills to evaluate program/student needs, problem-solve, lead meetings/committees, and train other staff.
  • Excellent interpersonal communication skills to clearly and effectively interact with individuals of varying ages and cultural backgrounds and perspectives to research, secure, and/or provide information to clarify situations, resolve problems, make public presentations, and/or provide training/guidance to other staff members and /or faculty.
  • Demonstrated skill in Microsoft applications including Word, Excel, PowerPoint, Outlook, and student information systems.
  • Strong analytical skills to analyze and evaluate technical and non-technical program requirements, information, or problems, in an objective manner.
  • Strong demonstrated writing skills to prepare a variety of correspondences and training documents.
  • Demonstrated skill to develop innovative solutions and contribute to program development and/or refinement.
  • Knowledge of fundamental school and academic program principles and standards (admissions, registration, financial aid, gift acceptance) to make effective judgments.
  • Working knowledge of policies on discrimination and issues that URiM students (underrepresented minorities in medicine) face in higher education.
Preferred Qualifications:
  • Previous experience working in student affairs, financial aid, admissions, or outreach within higher education.
  • Admissions portal/database experience.
  • Assessment skills to learn complex School of Medicine and Association of American Medical Colleges (AAMC) admission practices, processes, and procedures.
  • Working knowledge of health disparities in medicine.
  • Working knowledge of socially economically disadvantaged and URiM pathway programs.
  • Knowledge in the field of diversity, particularly, in relation to groups in an academic health center environment (faculty, residents, medical students, and pre-medical students) as well as local diverse communities.
Special Requirements
This position may be subject to a criminal background investigation, drug screen, Live Scan fingerprinting, medical evaluation clearance, and functional capacity assessment.
