The Department of Facilities Management and Planning (FMP) supports the mission of the University of Denver's physical resources to provide a healthy and safe educational environment for the campus community through services of the departments of Capital Projects and Planning, Facilities Management, Parking & Mobility Services, Auxiliaries & Real Estate, and Business & Operations.
Position Summary Within the Capital Projects and Planning group and under the management and supervision of the Director of Business and Operations, the Business Coordinator III position will provide administrative support for Capital Projects Management, Project Managers, and University Architects. This position will also engage with members of the FMP Project Managers, Operations, Maintenance, Procurement, and the Controllers staff to maintain administrative and project organization.
Essential Functions In addition to following the University of Denver's policies and procedures, principal responsibilities include, but are not limited to:
- Review and submit invoices for payment and track them with a QC process to ensure they are processed promptly and accurately
- Pull, audit, and submit the teams recharge time monthly
- Review, submit and track all procurement documents for the capital projects team
- Assist the Capital Projects team with reviewing the plant funds and their project budgets in the Banner (and/or other University standard software platforms)
- File hard copies of procurement and invoice documents in the business office
- Assist in creating projects and work orders for the team's projects in Web TMA
- Edit the project report that comes out of Web TMA to send to the team
- Closure of 7 funds for the team's projects when they have been completed
- Update standard work documents for training
- Assist with internal and controller audits when needed
- Assist in training sessions for new employees for TMA, Banner, and Data insights
- Provide support for the business operations when needed
Knowledge, Skills, and Abilities - Strong interpersonal communication and customer service skills. The ability to communicate, both verbally and in written form, with clients, including Deans, faculty, staff, and FMP personnel.
- Customer service oriented and ability to work within a collaborative team environment.
- Self-motivation and demonstrated dedication to the project and processes-the ability to work well in a dynamic & open office environment.
- Proficient knowledge of Microsoft Office, basic accounting principles, and database management skills. Knowledge of the University Banner financial system
- Experience completing charts and graphs; interpreting financial and budget data in Banner for use in general reporting and updates to the projects group.
- Strong organizational skills are essential, with attention to detail.
- Demonstrated ability to work without constant supervision.
- Maintained accurate filing of project files in support of Capital Projects.
- Responsible for generating and maintaining updates to various tracking metrics such as project Banner reports, information lists, and other financial data on projects.
- Point of contact for website inquiries and working with new vendors to get set up to work with the University.
Required Qualifications - Associate degree or equivalent combination of relevant education and experience.
- Excellent customer service, communication, organizational and interpersonal skills.
Preferred Qualifications - Experience in architectural, engineering, construction, facilities, and/or University organizations
- A Bachelor's degree from an accredited university
- Familiarity with coordination and oversight of project management and/or construction management processes and protocols
- Familiarity with purchase orders and requisitions, change orders, processing invoices, and budget review
Working Environment Standard office environment. Unexpected interruptions occur often, and stress level is moderate to high. Noise level is quiet to moderate.
Physical Activities While performing the duties of this job, the employee is regularly required to operate all equipment within an office environment and to communicate effectively verbally with customers and employees of the University. The employee is occasionally required to move about the office with the capability of transporting objects up to 10 pounds
Work Schedule University operating hours are Monday - Friday, 8:00 a.m. - 4:30 p.m. Work schedule may vary.

Salary Grade Number: The salary grade for the position is 8.
Hourly Range: The hourly range for this position is $23.50 - $26.25 per hour.
