OneCard/Parking Office Manager

Wayne State University is searching for an experienced OneCard/Parking Office Manager at its Detroit campus location.

Essential functions (job duties):

POSITION PURPOSE 

The OneCard/Parking Office Manager provides leadership and management of the daily activities and operations in the OneCard/Parking Service Center. The OneCard/Parking Service Center provides services to the University including the issuance of the WSU photo identification card, parking pass sales, administration of the campus debit account and its connection to meal plans, campus vending, on-campus retail, and off-campus retail, and purchases through Grubhub. This position is responsible for staff supervision (7-9 student staff and any future FT administrative staff), office administration and daily reconciliations processes. 

ESSENTIAL JOB FUNCTIONS
Manage front desk activities. Oversee front desk activities including student staff hiring, training, and scheduling and timesheet approvals. Manage use of IQueue appointment software. Create and update front office procedures and operations manual. Lead customer service initiatives and ensure excellent communication in person, by phone and email. Answer questions and provide information to students, staff, faculty, and guests including assisting with any complaints or concerns. Check mail and voicemail daily. 
Manage all aspects of OneCard Photo ID issuance including verifying identities, card printing and printer troubleshooting, online photo submission and approval through Atrium Connect, manual photo uploads and troubleshooting camera issues. Daily use of various software systems such as CS Gold, Fargo Connect and Dadmin will be required. Conduct various audits for the service center and oversee student projects related to these audits. Place tickets in Cherwell for IT issues related to OneCard systems and doors, student printing, parking, etc.
Oversee daily reconciliation of parking deposits via Cashnet, parking refunds and parking pass sales in T2Flex. Assist customers with purchasing parking permits online, process departmental parking pass sales via IRB and parking events IRBs. Create parking proration charts for use each semester and record citation payments made via mail. Work with Parking Operations on permit allocation, RFID tag inventory, and troubleshooting T2Flex system issues or correction of employee errors.
Assist the OneCard Director with preparing cards/credentials for Summer Conferences living in Housing each spring/summer semester. Issue cards with the proper access, parking, meal plans and added value per the needs of the conference. Collaborate with the Summer Conference Coordinator and various Housing staff to troubleshoot card issues and respond to conference attendee needs. Oversee the issuance and mailing of ID cards during Student Orientation. Collaborate with the Orientation Office to obtain student rosters, prepare communication to incoming students regarding their ID card and help to train Orientation leaders. Participate in Fall Opening Activities, Move-In and & other recruitment programs.
Bill departmental IRBs for monthly parking validations and work with Parking & Transportation to issue parking passes for state vehicles, Zipcars, public safety vehicles, and other service vehicles. Coordinate the issuance of passes to leased parking vendors by working with the Office of Real Estate. Work with departmental BAO on the process of issuing parking to Veterans paid for by the VA on a semester basis. 
Participate in professional development and training through WSU, the National Association of Campus Card Users (NACCU) and T2 Flex Users Group. 
Other duties as assigned. 
 

Qualifications:

MINIMUM QUALIFICATIONS
Education:
  • Bachelor’s degree or equivalent combination of education or experience.
Experience:
  • Minimum 2 years of experience in a college or university setting with supervisory and customer service experience required. Three (3) to five (5) years preferred. 
  • Demonstrated experience serving successfully in an administrative role. 
ADDITIONAL COMMENTS:
  • Supervisory skills including the ability to assign tasks and give feedback clearly and concisely. 
  • General knowledge of OneCard and parking processes. 
  • Excellent written and verbal communication skills. 
  • Knowledge of university buildings and parking lots/structures. 
  • Ability to manage multiple tasks with interruptions and perform tasks with a close attention to detail. 
  • Individual must be proficient in Microsoft Office Tools and ability to learn multiple systems such as Banner, CS Gold and Fargo Connect OneCard software, T2Flex and IParc parking software, IQueue appointment management software, or similar programs and applications. 
  • Ability to work independently and troubleshoot issues that may arise.

Working conditions:

This position must be filled pursuant to the provisions of a collective bargaining agreement, and as such may be filled by a qualified bargaining unit member, should one apply.This person will work in an office setting with occasional walking required. Fast paced environment during rush periods, especially during the summer and the first 3-4 weeks of each semester, with various tasks and responsibilities to be completed daily. Occasional weekend hours for special events such as Fall Opening/Move-In and Orientation events. This is a critical infrastructure position. Remote work is not available for this position.
