POSITION SUMMARY
The Program Support Specialist is primarily responsible for providing administrative and office support to the Housing Department and supports the Workforce departmental staff on-site as needed. The position is based out of our Cerritos office and will require schedule flexibility. The Program Support Specialist's duties will include a wide range of general office support and customer service. It will also include generating internal and external monthly reports, ensuring timely filings, preparing power point presentations, calendaring, and providing research assistance. Secondarily, the Program Support Specialist assists the Housing Department Staff in managing the department’s daily office operations and monthly objectives. The day-to-day functions of the Program Support Specialist are timely responses to applicants and participants, daily communication with the Program Manager, processing appropriate documents to the finance department, retrieving processed checks from finance and distributing. In addition, order supplies, scan documents, enter data, and verifies supportive services received and document scheduling appointments. This position will greet and document all individual(s) calls, and visits/entering the office.
ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES:
  • Ensure the office operates efficiently and smoothly
  • Welcome and greet all visitors entering the Cerritos office
  • Provide administrative and accounting support to the overall support team
  • Sort mail, route calls, and listen to voicemails
  • File, copy, mail, fax and scan documents
  • Document all calls and collect information from staff for reporting purposes
  • Collect all departmental credit card receipts, and prepare check requests and purchase order(s) to submit weekly to Finance Department or on data system
  • Pick up checks and distribute to clients or vendors and obtain appropriate signatures
  • Assist in processing check requests, invoices, vouchers and billings
  • Assist staff in coordinating special events or training activities
  • Assist in generating monthly internal reports for Board of Directors meeting
  • Assist in maintaining departmental calendar
  • Track report deadlines
  • Take meeting minutes and ensure timely distribution
  • Maintain and order department supplies
  • Proofread and edit communication materials
  • Conduct research as requested
  • Cross-train departmental staff or trainees as requested
  • Compose internal and external correspondence
  • Keep team well informed regarding departmental activities, pending issues and potential problems 
  • Complete special projects that may require analytical skills
  • Prepare PowerPoint presentations under direction and supervision
  • Collaborate and work closely with Housing staff and Workforce Specialists to provide administrative support and to assist clients in the use of resources and technology
  • Perform other duties as assigned
MINIMUM QUALIFICATIONS:
  • Experience & Qualifications:
  • Minimum of 2-3 years of administrative office experience in an office environment 
  • Ability to multi-task and react appropriately in stressful situations
  • Able and willing to work with culturally diverse populations
  • Sensitive and/or knowledgeable about the needs of the American Indian community/culture
  • Knowledge of and a genuine respect for American Indian/Alaska Native values, customs, and practices
  • Must have valid California driver's license or ability to obtain upon hire
  • Must have a clean driving record and ability to be insured on UAII's auto policy
  • Must have a clean criminal background report & Level 1 Fingerprint Clearance and obtain a Fingerprint Clearance Card
  • Must have a current vaccination record
Required Education:
  • High school diploma or equivalent education and experience required
  • Bachelor's Degree from an accredited college or university is preferred but not required
  • Certifications: N/A

  • Maintain strict confidentiality of client and personnel information adhering to HIPAA, professional codes of conduct, State of CA regulations, Privacy Act, and UAII policies and procedures
  • This position has access to sensitive information, and a breach in confidentiality will be grounds for disciplinary action up to and including immediate termination
Communication/ Interpersonal Skills:
  • Possess the ability to communicate with others in a courteous and professional manner
  • Demonstrable ability to communicate effectively and professionally
  • Proficient in English
  • Excellent interpersonal/professional skills, i.e., ability to respectfully interact with people
Technology Skills:
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Mail, Calendar, Drive, Docs, Sheets) 
Other Skills:
  • Available to work occasionally on evenings or weekends
  • Ability to provide training and mentoring of staff
  • Willingness to learn new skills and participate in training sessions relevant to the position
POSITION PREFERENCES:
  • Experience working with the American Indian/Alaskan Native community
  • Experience working with nonprofit organizations, community groups, and performance-based government contracts.
  • Knowledge of Indian Self-Determination and Education Assistance Act (Public Law 93-638)
  • Bachelor’s Degree 
WORK ENVIRONMENT

Physical Demands:
The physical demands described here represent those that an employee must meet to perform the primary functions of this job successfully. While performing the duties of this job, the employee is required to stand, walk frequently, sit, bend, twist, talk, and hear with staff and visitors. The employee must be comfortable kneeling, bending, walking, and standing for extended periods. The employee must occasionally lift and move up to 25 pounds. Specific vision abilities required by this job include reading, distance, computer, and color vision. Talking and hearing are essential to communicate with patients, vendors, and staff.

Mental demands: There are several deadlines associated with this position. The employee must also multi-task and interact with various people on various and, at times, complex issues.
