Job Description

The Event Technology Specialist is responsible for serving as the Cvent system administrator and subject matter expert for event and travel-related technology tools utilized for registration, attendee management, budgeting, travel, surveys, and reporting. This position is responsible for supporting the operations team in planning successful meeting, incentive, and event programs by managing technology tools through the entire meeting lifecycle, including venue sourcing, registration building, travel integration, survey design, and post event reporting. The specialist will design and implement processes optimized for efficiency, quality, and a high level of customer service for internal and external stakeholders. In addition, this role will serve as the subject matter expert for survey programs and administrator for the survey tools, Culture Amp, Cvent Surveys, and MS Forms.

Successful candidates will have the following: 

Knowledge and skills indicate the education level, previous experience, specific knowledge, skills, and abilities necessary to meet the minimum requirements for this position.

  • Associate Degree and/or some college preferred (equivalent experience is acceptable)
  • 5 years previous meeting planning or group air experience 
  • Ability to quickly adapt to and learn new technology interfaces
  • Ability to develop and manage project timelines
  • Excellent attention to detail coupled with strong organization and project management skills a must
  • Demonstrated ability to manage multiple projects and details simultaneously
  • Must be skilled in Microsoft Excel, Word, PowerPoint, and Outlook
  • Excellent communication skills, oral and written, as well as effective presentation and negotiation skills

Other requirements (licenses, certifications, specialized training, and physical or mental abilities required):

  • Cvent certifications preferred
  • This position may require approximately 10-15% travel

What you would be doing in this role: 

  •  Account administrator: Ability to configure account and user permission settings to support organization’s event programs
  • System Administrator: Ability to maintain Cvent account configurations and user settings to support company’s Strategic Meetings Management policies
  • Management and support of Culture Amp administration and survey building (our organization’s survey and employee engagement Tool)
  • Manage meeting information database, Cvent, and serve as subject matter expert for team
  • Partner with Cvent Account Manager to build optimized process and systems framework
  • Development and administration of reporting to track key performance indicators. Create reports (weekly / monthly / adhoc) and analytics to provide meaningful insights and actionable data
  • Manage and train new and existing users (internal and external)
  • Create surveys for cross-functional teams
  • Maintain contact database with accurate information
  • Develop and manage invitee lists
  • Build customized registration websites for events:
    • Conduct quality testing on websites for accuracy and complete functionality throughout the registration and travel process
  • Build Concur meetings with custom travel parameters by attendee type for integration into registration process
  • Vendor Management - Oversight/management of vendors performing registration website builds and other services within Cvent
  • Implement, train and manage employees and vendor partners on client's SOPs and standards
  • Identify, evaluate and implement new tools and processes to improve efficiency of team’s functions
  • Ad hoc support as needed to meet team goals and objectives.
