ULTIMATE (COMMERCIAL INTERIORS) LIMITED is Hiring an Office Administrator Near Irvine, CA

We are looking for an Office Administrator for an Irvine based company. Handle all administrative duties for a small office with experience in HR for payroll, QuickBooks and day-to-day accounting.
This is a long term temp role covering for a leave for approx. 6 months.

M-F 9-5:30 PM
Pay $25 p/hr.
Key Responsibilities:
* Maintain office operations, phones, coordinate schedules, appointments and bookings
*Identify staff vacancies and recruit, interview and select applicants
* Prepare and process bi-weekly payroll of all company employees
* Maintain employee schedules and times sheets
* Administer and coordinate benefits such as vacations, make-up time requests, life, health
and dental insurance for new hires and current employees
* Update payroll records by reviewing and approving changes in exemptions, insurance
coverage, deductions, bonuses, pay raises and job titles
* Maintain office systems and equipment with needed maintenance orders
* Maintain and organize electronic and paper files and folders
* Maintain accounts payable and receivable, research and reconcile for accounts payable
* Keep management informed by reviewing and analyzing expenses
* Coordinate office staff activities, birthdays and events
* Monitor and maintain office and lab supplies inventory
* Generate, send and maintain purchase orders
* Establish, build, and maintain relationships with key suppliers
* Review and resolve any discrepancies with supplier invoices, claims, or quality issues
* Receive, sort and forward incoming mail, processoutgoing mail/shipments i.e. FedEx
* Generate memos, emails and reports when appropriate
* Provide clerical and administrative support to management team
* Maintain company calendar
* Manage, file and maintain all NDAs, notify when NDAs are expiring
* Maintain Insurance Policy Renewals, Workers Comp, shipping insurance
* Manage the termination process: exit interviews: submission of required documentation;
final paychecks, PTO, and processing of unemployment claims
Requirements and Skills
* 3-4 years administrative and receptionist
* Ability to work independently, as well as part of a team
* Strong attention to detail and organizational skills
* Strong written and verbal communication skills
* Proficient in Outlook, Microsoft Word, and Excel
* Proficient in QuickBooks
