UHY LLP is Hiring an Administrative Assistant Near Kansas, MO

Position Summary

This position serves as an ambassador to our firm and must present with a professional appearance and conduct. Qualified candidates must have a passion for client service and a demonstrated history of high performance supporting a professional organization. This high-functioning role requires daily interaction with clients and professionals to support our organization in a variety of critical tasks. You will join an agile team who are cross-functionally trained to support our organization.

Tasks

  • Operate telephone switchboard to answer, screen, and forward calls, provide information, taking messages, and schedule appointments.
  • Scanning documents
  • Greet persons entering the establishment, determine the nature and purpose of the visit and direct or escort them to specific destinations.
  • Maintains inventory of supplies needed.
  • Supports onboarding of new employees
  • Transmit information or documents to clients using a computer, mail, facsimile machine, courier, UPS and FedEx
  • Tasks as assigned by the supervisor/ Special projects.
  • Orders food for meetings and events as requested.
  • Occasionally lift to 50 lbs.

Skills

  • Superior Microsoft Office Suite skills (Word, Excel, PowerPoint)
  • Familiarity with Outlook email, Calendar, and Outlook Teams meetings preferred
  • Attention to detail is a critical skill required for all work
  • Tech savvy with common apps and internet, website navigation
  • Superior organization skills and dedication to completing projects under deadline
  • Communication- Ability to effectively communicate with all levels of employees and ask questions as appropriate.
  • Reading and writing comprehension - Understanding written sentences and paragraphs in work-related documents so you can effectively proofread and edit documents.
  • Time Management - Managing one's own time to meet deadlines. Ability to operate with a sense of urgency.
  • Work Prioritization- Able to prioritize multiple requests to meet the demands of business and provide timely feedback. 
  • Teamwork – Ability to contribute and be flexible with office support, especially during the busy season.
  • Proactive Approach - Ability to forecast potential problems and suggest solutions.
  • Confidentiality – Ability to keep client and employee information confidential.
  • Willingness to work overtime as needed.
  • Professionalism and strong work ethics.

Experience and Education

  • Preferred candidates will have a minimum of 3 years of experience supporting a professional services firm or working in a business setting.
  • Exerience with CCH Access, Workstream, SafeSend, and SurePrep tax software preferred but not required.
  • Previous experience in accounting and financial firms are legal office desirable but not required.
