POSITION SUMMARY
The Outpatient Services Assistant provides office and paraprofessional support for the day to day operations of Outpatient Services. Duties include acting as department liaison, managing phones, scheduling appointments, file management, collecting co-payments, verifying insurance benefits, calling in prescriptions, etc.
Requirements
High School Diploma or equivalency required. Some college or billing coursework preferred.
Two (2) years administrative office experience, preferably in a medical/hospital environment required.
Proficiency in Microsoft Office programs. Ability to apply technical and computer/software skills.
Excellent communication, interpersonal, organizational and service excellence skills. Must be detail oriented and able to multi-task and change direction quickly. Presents oneself in a positive and professional manner through appearance and conduct. Maintain compliance with all Hospital competencies.
key responsibilities
Acts as liaison between family, department, referral sources, agencies, schools and other interested parties. Assure a safe, nurturing, clean, & supportive environment for patients and staff. Greets visitors to the building, creating a warm and welcoming environment. Determine reason for visit. Assure sign-in procedures are followed. Manages the security of the reception area. Recognizes and responds to signs of rising acuity. Calls for assistance as needed. Answers telephone in a timely manner and directs the caller appropriately. Understands and differentiates between crisis calls and can easily access appropriate clinical staff. Provides callers with information such as company address, directions to the company location, company fax numbers, company website, services provided and other related information. Maintains responsibility for general clerical support functions to ensure efficient utilization of time. Types and distributes, upon review and approval, reports, memos, and projects. Obtains and assembles information for use by the department, as assigned. Receives sorts and forwards incoming mail and faxes, as assigned. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.). Photocopy and fax information and documents as needed or requested. Assists with filing documents into patient medical records according to standard policy and procedure. Collects updated insurance and financial information. Data entry into computer databases. Verifies insurance coverage and benefits. Assists in managing upfront collections, calendars, referrals, scheduling appointments, verifying appointments, , completing admission/discharge procedures and ensuring each patient receives all required services, as assigned. Assists in maintaining cleanliness of facility. Assists manager in maintaining department supplies. Assists manager in maintaining cash box to include but not limited to receipts and credit card payments. Maintains an environment to promote efficiency within the work area. Ensure files are up to date and papers and files are clearly marked for easy access. Complete work within appropriate timeframe in order to prevent backlog. Performs other duties as assigned.
