UHS is Hiring an Executive Assistant Near LEWISVILLE, TX

Responsibilities

Provides executive level administrative support to the Chief Executive Officer. The Executive Assistant proactively anticipates and manages the CEOs needs to support the executive office, in a professional, organized and confidential manner by performing the following duties:

Essential Duties and Responsibilities:

  1. Maintains a proper and respectable representation for the executive suite, Horizon and the NSC in general.
  2. Maintains a professional demeanor.
  3. Handles sensitive information in a confidential manner and maintains the confidentiality required of the position.
  4. Acts as a professional point of contact for internal and external stakeholders.
  5. Provides support and prepares correspondence; administrative, management and financial reports; and conducts special projects as required. Reports include but are not limited to: Annual Operating Plan; Monthly and Quarterly Business Reports; and assists CEO with Strategic Business Reports.
  6. Sets meeting agendas.
  7. Monitors the health of the organization to identify new opportunities to improve communication and work more efficiently.
  8. Maintains the calendar for the CEO and organizes and schedule meetings and appointments involving multiple, complex calendars.
  9. Utilizes the company travel platform to arrange travel and submit expense reports. Reviews and approves expenses for direct reports of CEO as required.
  10. Handles arrangements for special functions related to group meetings at the National Support Center and offsite conferences as required, to include scheduling hotels, travel, meeting space, meals and all other logistical issues related to the function, including meeting agendas, presentations, A/V requirements, and negotiating contracts with vendors to ensure functions remain within approved budgets,
  11. Maintains effective central filing and follow-up system, as required, in the performance of duties.
  12. Solves any operational problems that arise and coordinates the processing of all reports, information or paperwork received.
  13. Answers the phone and takes messages in addition to handling specific situations to the satisfaction of the caller.
  14. Prepares minutes as requested for senior leadership meetings.
  15. Reviews and evaluates incoming invoices and expense reports to verify accuracy before forwarding to accounts payable.
  16. Maintains good communication and relationships with CFO, Senior Vice Presidents and Vice Presidents of Operations, Clinical and Sales/Development and their respective executive support teams to assist with projects as necessary.
  17. Acts as liaison to the corporate legal, risk and insurance departments to process Horizon contracts. Communicates missing elements or legal changes to the appropriate parties. Maintains legal case files, prepares communication for legal review and provides data gathering for legal requests; assist UHS risk with contract details as well as communication with insurance department on Horizon contracts.
  18. Manages the Annual Awards process which includes the ongoing updates of the process, soliciting award nominations; gathering finalist nomination write-ups and preparing for submission; assigning selection committees and tallying award winners.
  19. Final editor/reviewer of the company newsletter prior to distribution.
  20. Provides annual preparation of bonus plans for review by CEO and CFO and distributes plans to recipients once finalized. Assists CFO on gathering data to confirm if bonus plans were met.
  21. Plans National Support Center meetings and quarterly update meetings.
  22. Processes payroll for direct reports of CEO; enters evaluations and PAF into systems as required.
  23. Mentors other Administrative Assistant team members as needed.
  24. Assists UHS facilities with meeting space needs at the National Support Center.
  25. Other duties as assigned.
Qualifications
  • Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

    1. Educational and/or Experience
    1. High school diploma with some college preferred
    2. Seven to Ten years’ experience supporting a CEO or C level position;
    3. Some paralegal, or legal contract experience preferred
    1. Technical Skills and Abilities
    1. Types 50 words per minute.
    2. Strong accuracy and editing ability
    3. Strong PC skills and working knowledge of Microsoft Office products, including Outlook, Word, Excel and PowerPoint development, and familiarity with Microsoft Teams
    4. Working knowledge of Zoom meeting software
    5. Working knowledge of Concur preferred
    1. Language Skills
    1. Ability to read and comprehend complicated instructions and correspondence.
    2. Ability to write detailed, complicated correspondence.
    3. Ability to effectively present information in one-on-one, small and large group situations to customers, clients, executives, board members, shareholders and other employees of the organization.
    1. Mathematical Skills
    1. Ability to add, subtract, multiply and divide with three digit numbers.
    2. Ability to perform these operations using units of American money.
    1. Leadership/Management Skills
    1. Ability to effectively manage support staff.
    2. Demonstrates advanced conceptual thinking skills.
    3. Demonstrates advanced communication skills, including verbal, written, and listening skills.
    4. Demonstrates the ability to plan for short and long term tasks and projects.
    5. Demonstrates the ability to evaluate administrative support and individual performance.
    6. Demonstrates the ability to organize desk, office, and project initiatives to support the priorities and values of the company.
    7. Demonstrates the ability to collaborate effectively with other members of the Horizon management team.
    8. Ability to work with minimum supervision, set goals, create and implement action plans and monitor progress toward goals.
    9. Can remain composed and productive under pressure, and demonstrates high emotional intelligence and the ability to work with varying personality types.
