Responsibilities

Palm Springs Treatment Center dba Michael’s House, The Addictions Division of UHS, Inc. is the premier provider of integrated treatment for co-occurring addiction and mental health concerns, offering residential and outpatient services nationwide. Michael’s House is currently seeking a Receptionist / Administrative Assistant responsible for administrative support responsibilities related to operational needs.

The ideal candidate will have the ability to inspire our clients’ confidence in both our staff and the MH Model of Treatment by exhibiting a high level of both knowledge and compassion. This position will be located at UHS facility, Michael’s House, located in Palm Springs, California.

Qualifications

Essential Duties and Responsibilities• Cordially and professionally greets visitors and patients as they enter the building• Provide assistance and direction to visitors/patients as requested, in cooperation with appropriate staff members as needed • Promptly responds to phone calls in a courteous and helpful manner. Connects callers with appropriate staff members based on subject matter of call• Responsible for receiving and routing both internal and external courier packages and mail, working in collaboration with the transportation team• Maintains visual surveillance of ground floor of building, assisting where necessary in cases of emergencies and crisis, utilizing 911 or internal radio for calling codes as needed• Assist in monitoring patients at the center, redirecting as appropriate, seeking assistance from other staff as needed• Help ensure a safe, clean working environment to include immediate work space, lobby, general patient area and staff refrigerator in cooperation with housekeeping• Maintain calendar of events occurring in the building (meetings, celebratory events, trainings, etc.)• Provide backup support of other departments (Business, AP, Payroll, HR) as needed• Observes all confidentiality regulations.• Maintains inventory of and places office supply orders for all departments, creates POs for purchases and distributes supplies to staff. • Assists in the transport and pickup of patients• Performs all other duties as required or assigned

Knowledge, Skills and Abilities• Ability to inspire client confidence in the Michael’s House Staff and the Michael’s House Model of Treatment.• Ability to consistently demonstrate through conduct and communications the stability required to effectively assist patients and their family members through the Michael’s House Model of Treatment.• Excellent verbal and written communication skills required.• Must have high level of interpersonal skills. Position continually requires demonstrated poise, professionalism, tact and diplomacy.• Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.• Proven ability to handle multiple projects under pressure.• Ability to develop and maintain professional working relationships with all internal/external interface points.• Excellent organizational skills with the ability to prioritize workload and meet deadlines.• Understands need for and maintains appropriate confidentiality at all times when interacting with patients, residents, families, visitors, referral sources and all other contacts.• Must have strong knowledge of a variety of computer software applications in word processing, spreadsheets, and presentation software (MS Word, Excel, Power Point). Proficiency in MS Access is preferred.

Education and Experience• High School Degree or GED required. • Minimum 2 years related experience.• Valid California Driver’s License.

• Familiarity with Southern California roads/freeways and knowledge of navigation systems is a plus.

Work Environment and Physical Demands• Ability to be physically mobile by walking and standing however long periods of sitting will be required.• Ability to lift up to 20 lbs and push and pull loads.• Constant use of computer requiring manual dexterity.• Ability to read, write and analyze detailed and complex information.• Must be able to communicate effectively by telephone and in-person.• Must be able to sit for long periods of time—including hours in the car.
