Responsibilities

About the Role:

Arbour Counseling Services is looking for a Full Time Intake Coordinator to join our growing administrative team! The Intake Coordinator receives and accepts appointment referrals from prospective clients and referring sources. The Coordinator must effectively and professionally interact with all referral sources to procure timely appointment offerings and maintain a positive relationship with the referring people and agencies. Arbour provides a warm, encouraging work environment and strives to offer compassionate and innovative care to all those we serve.

This is a fully on-site (non-remote) position and candidates must provide proof of their Covid-19 Vaccination Card or an appropriate religious / medical exemption.

Essential Responsibilities:

  • Make proper assignment of cases by staying knowledgeable of what insurances an individual clinician is billable to and what the therapist’s treatment specialties are
  • Stay informed of all of the insurance companies credentialing criteria by communicating with the human resource credentialing coordinator
  • Enter new patient information into the computer system
  • Responsible for verifying insurance coverage and client co-payments prior to the initial appointment and obtain authorizations for treatment from the clients insurance pay source
  • Responsible for tracking referral source activity and no-show rates for intakes and watching for early terminations after case assignment
  • Keep Center Director aware of the current referral trends and any of the significant changes that may present
  • Responsible for filling out access grids to be sent to MBHP monthly and the CEO quarterly
  • Other duties as needed

Qualifications

  • High School Diploma Required
  • Effective communication skills with a strong phone etiquette
  • Basic computer skills
  • Ability to prioritize work assignments and manage time properly
  • Ability to work in a fast paced environment
  • Ability to communicate effectively by phone
  • Ability to reliably commute to work
  • Candidate must possess appropriate citizenship work documentation
  • Candidate must pass a CORI and drug test, as well as other pre-employment documentation
  • Candidate must provide proof of Covid-19 Vaccination Card or appropriate religious / medical exemption. Card must possess at least either two Moderna Vaccinations, two Pfizer vaccinations, or a J&J vaccination.
