Responsibilities

Executive Assistant and Credentialing Specialist

Dover Behavioral Health System is a 104-bed, acute care psychiatric hospital located in the beautiful Dover, Delaware area. Dover Behavioral Health System features individual units for adolescents and adults and offers inpatient acute care, partial hospitalization, and intensive outpatient programs. The Executive Assistant and Credentialing Specialist is a key member of Dover Behavioral Health System who provides administrative support to the hospital's senior leadership team and directly for the Chief Executive Officer. The incumbent also maintains the credentialing process for the hospital. 

Job Duties/Responsibilities

  • Maintain the Hospital calendar and make appropriate arrangements for all internal and external meetings, including scheduling, meeting location, electronic equipment, etc.
  • Coordinate multiple meetings and execute meeting minutes
  • Coordinate and prepare the monthly on-call schedule for the physician team and Administrators on Call 
  • Manage the credentialing process for all hospital Medical Staff by originating all credentialing components for new staff members, maintain credentialing files in accordance with The Joint Commission and CMS regulations, and coordinate for reappointment, biennially for each file
  • Coordinate resolution of patient care and administrative issues in the absence of the CEO and/or Manager.
  • Provide daily administrative support to the CEO and other senior leaders as needed
  • Serves as Contract Administrator for the hospital by maintaining all hospital vendor contracts and initiating the ECM process for corporate legal approvals in support of the CFO.
  • Assist staff Hospital Administration in preparing for various surveys, audits, and site reviews.
  • Maintain all hospital Policies and Procedures manuals and electronic versions of all, make changes when required by department heads and route for approval by Medical Executive Committee and Board of Trustees

Qualifications

  • Two year business degree or equivalent years of experience providing administrative support to executives
  • Experience providing administrative support in a healthcare setting and physician team is a plus
  • Experience with regulatory audits (i.e. Joint Commission, CMS)
  • Full life cycle credentialing experience is required
