Director of Outpatient Services

Position Summary

The Director of Outpatient Services is responsible for the clinical oversight for all outpatient therapy services. The Director manages all activities involving outpatient referrals from initial call through completion of treatment plans, coordinating caseloads, developing and managing the outpatient staff, and marketing the program. This goal for this position is to maximize referral potentials from assigned accounts, and develop new business to achieve the goals and objectives of the business developmental systems.

Job Duties/Responsibilities:

  • Assists departments and services to establish criteria and update programming where appropriate to best meet outpatient needs of the community.
  • Oversees patient flow including step downs, direct admits. On-going review and case volume by therapist/RN.
  • Consults with medical director in order to upgrade and monitor outpatient services. Makes appropriate recommendations.
  • Ensures appropriate discharge planning, including utilization of Janus Pharmacy, as indicated. Assesses aftercare program offerings including operational flow of such.
  • Collaboration with Nursing Leaders in order to ensure the highest quality of patient care.
  • aintains effective communication with all department heads, to facilitate cooperation and coordination of services to meet the goals and objectives of the hospital’s outpatient program.
  • Assures that outpatient staff are providing quality treatment in accordance with their job descriptions to include proper documentation and discharge planning. On-going record reviews with individual feedback to staff.
  • Monitors required continuing education; promote participation in hospital CEU offerings, and provide evidence based literature for on-going learning and education.
  • Provide monthly department report including Performance Improvement Data Collection; compiles quarterly report for Hospital meetings and communicates problem areas with appropriate person(s) in order to achieve desired outcome.
  • Ensures all necessary documentation, assessments and treatment plan requirements are complete in timely manner by both nursing and social work staff.
  • Conducts routine staff rounding/supervision meetings to discuss PI/documentation issues, clinical issues, and encourages a pro-active approach to problem solving.
  • Monitors guidelines set for the outpatient program by working with COO and clinical staff in areas of deficiency.
  • Develops and maintains a PI plan for outpatient services to monitor and review
  • Monitors and evaluates program quality and opportunity for outpatient growth.
  • Meets with staff for performance evaluation after first three (3) months, six (6) months and annually thereafter. Provides input on other occasions when there is a question of employee performance.
  • Serves on assigned committees.
  • Collaboration with Clinical Services Team and Discharge planning to ensure knowledge of outpatient tracks/programs available.
  • Collaboration with intake and business development (BD) teams to ensure staff knowledge and promotion of outpatient programs available; meet with community referral sources, as needed. In conjunction with BD team, completes presentations.
  • Assists interfacing departments by providing clinical consultation and collaboration.
  • Works productively with persons of diverse backgrounds, training and experience, and maintains good rapport with colleagues from interfacing departments.
  • Assists in building a facility environment which values each member of the treatment and facility process.
  • Assists staff in developing leadership skills which enhance clinical and professional work.
  • Works cooperatively with the administrative team, and provides clinical outpatient leadership.
  • Works with hospital marketing team to facilitate positive relationships with referral sources and generate new business.
  • Provides basic IT support to staff using computers and Internet technology for providing services.
  • Knowledge of admission and discharge processes to the Outpatient Programs, including using current hospital computer systems to generate admissions into the programs.
  • Provides Office management functions; ordering supplies, navigating admissions, census / attendance documentation, admitting and discharging patients, maintaining medical records of current patients, assistance with Disability Paperwork, Employee paperwork, etc.
  • Works with MDs and APRNS to schedule PHP/IOP visits. Maintains efficiency to communicating of this information to providers in an effective manner.
  • Daily operations oversight of Kenton County IOP; review of target census goals, staff growth and development.
  • Daily oversight of the Medical Clinic in the Physician building; identification of operational efficiencies and resource allotment to achieve desired result.
  • Ensure daily charges are submitted timely and correctly for billing processes.
  • Ensure pre-certifications are completed timely and thoroughly. Collaborate with Intake and/or UR leaders, as indicated.
  • Identification of clerical roles/tasks to maintain seamless daily operations. Addition of clerical tasks at discretion of Director.
  • Maintains professional awareness of current trends and developments in outpatient treatment and initiatives efforts to align current program offerings to such. Attends in-services/trainings, as indicated.
  • Serves as Administrator on Call (AOC), per scheduled rotation.
  • Provides clinical supervision for hospital staff, as indicated.

Qualifications

Qualifications

Education: Master’s Degree from an accredited university in the field of social work, counseling, psychology, or another mental health related field.

Experience: Minimum of 7 years’ experience in a psychiatric health-care facility. Minimum of 5 years of healthcare leadership experience, preferably in an outpatient setting.

Licensure: LCADC, LPCC, LMFT, LCSW preferred issued by the State of Kentucky

Additional Requirements: A strong knowledge of regulatory and accreditation agencies’ regulations, and patient rights standards and all other applicable federal and state laws regulating mental health care facilities. Experience working as an outpatient director in a healthcare setting is preferred.
