Responsibilities

When it comes to what you’ll do as an Administrative Coordinator at UCP, here’s what to expect:

  • Prepare, complete, submit and file a variety of forms, contracts, statements, applications and reports and obtain signatures, as needed. 
  • Provide information to the governing boards and committees via posting to the internal portal for UCP Operations and the Finance Committee. 
  • Maintain daily deposit log and investigate any unrecognized receipts to assist in the posting process. 
  • Facilitate timely reporting based on contract requirements (i.e. county contracts, United Way). 
  • Manage key inventory for offices, program sites, and vehicles. 
  • Order supplies and prepare purchase orders. 
  • Administer petty cash for all programs and facilities. 
  • Prepare data for Operations related to identified metrics (i.e. labor hours, temp labor, overtime, revenue, write-offs, etc.)
  • Serve as back-up for the Clerical Assistant, Secretary/Receptionist, Senior Administrative Assistant, and Executive Assistant as necessary.
  • Maintain up to date contract files, licensing and revalidation files, and other organizational files, such as the annual audit, IRS filings, leases, and Commonwealth Registration documents. 
  • Maintain board minutes for the Operations and Finance Committee.
  • Maintain vehicle records, including leased and owned vehicles, vehicle titles, vehicle registrations, geo tab results, and gas cards.
  • Maintain records regarding all cash deposit and investment accounts, including signature cards and deposit agreements, if applicable. 
  • Maintain and account for all tagged assets. 
  • Maintain donor records including entering, acknowledging, and reconciling gifts. 
  • Maintain volunteer records.
  • Maintain records for site visits, facility inspections, and fire safety.
  • Maintain storage records for documents as required by UCP policy. 
  • Assist with the maintenance of the donor database.

Qualifications

What we’re looking for in an Administrative Coordinator at UCP:

Minimum requirements

  • High School Diploma or General Education Development (GED) Certificate required. Associate's Degree or technical certification within a related area preferred. 6 months to 2 years of previous job-related experience expected. 2 to 5 years of previous job-related experience preferred.

Preferred, but not required

  • Experience working in a large organizational office environment.

While performing the duties of this position, an Administrative Coordinator at UCP will:

  • Continuously sit, use a computer, express and exchange ideas, communicate with others, and apply visual acuity less than 20 inches
  • Occasionally move 1-10 pounds, and apply color vision perception
  • Rarely stand, walk, twist, move 11-50 pounds, bend, stoop, squat, kneel, climb stairs, reach above shoulders, walk on uneven surfaces, apply visual acuity greater than 20 feet, and apply visual depth perception and field of vision (if vehicle driving duties assigned)
